What You Will Do:

Reporting to the Director of Workplace Experience, the primary focus of the Front Desk Associate is to effectively support the administrative and operational needs of the Massachusetts region. The Front Desk Associate helps greet visitors, send reminder communication to Bottom Line students about upcoming meetings, and maintain a welcoming office environment. The Front Desk Associate will support our ongoing efforts to create a culture of belonging and have the opportunity to work with our students, staff, leadership, and external vendors. As a vital part of the Bottom Line team, the Front Desk Associate will receive training that empowers them to successfully fulfill their responsibilities.

Primary Responsibilities

Front Desk Management & Communication - 85%

  • Deliver best-in-class support to all members of the Bottom Line community by answering questions and phone calls; direct inquiries to the appropriate parties and/or take detailed messages
  • Manage visitor access to the office through buzzer system, ensuring sign-in protocol is followed; have knowledge of visitors at all times
  • In partnership with the Director of Workplace Experience, maintain a welcoming environment as the primary front-desk staff person; this includes collaborating to ensure that students, staff, and office visitors alike feel empowered to utilize resources as appropriate
  • Accept and distribute package deliveries

Administrative Support - 10%

  • Provide logistical support for office-wide activities, including set-up and breakdown of on-site events or catering
  • Send daily reminder texts and as-needed event communications to students through SendHub, an SMS messaging platform
  • Support in ensuring that office signage is up-to-date
  • Execute other administrative tasks as needed

Program & Organizational Support - 5%

  • Collaborate with Program, Recruitment, Development, and Leadership Teams to successfully support projects as assigned
  • Represent the Bottom Line brand in a positive light, and take actions to increase brand awareness throughout the community

Work Schedule:

This role requires candidates to work fully in-person at our Boston Office. The role follows the academic year, meaning that candidates would work from approximately September – April and be able to return the following September if eligible.

Front Desk Associates are part-time, non-exempt staff and will work between 4 and 5.5 hour shifts Tuesday – Thursday dependent on program and student needs.

Certain seasons will require work from 2 P.M. – 6 P.M., while others will require work from 2 P.M. – 7 P.M. There may be times throughout the year when you may be expected to work additional hours and/or flex your schedule to meet program and student needs.

Preferred:
  • Fluency in language other than English a plus
  • Associate’s or Bachelor’s degree, or progress toward a degree
