Job Title: Bookkeeper / Front Desk assistant

About Us:
Fishback Dominic LLP is a dynamic and professional law firm dedicated to delivering exceptional legal services. We are seeking a highly organized, detail-oriented individual to serve as a Bookkeeper while also managing front desk and some administrative responsibilities. Proficiency in Juris accounting software is required for this multifaceted role.

**Key Responsibilities:
**

**Bookkeeping Duties:
**

  • Manage financial transactions using Juris accounting software, including accounts payable, accounts receivable, and general ledger entries.
  • Assist with the preparation of monthly financial reports and reconciliations.
  • Assist with client billing and matter management to ensure accuracy and timeliness.
  • Ensure compliance with trust account regulations and reporting standards.
  • Assist Accounts Payable functions, including onboarding new vendors, processing firm bills, and reviewing client invoices, as well as handling 1099 reporting.
  • Work with Equitrac software to record rejected entries and allocate to the NB100 account.
  • Assist retiring attorneys with closing files and organizing recordings, scans, and destruction of files.

**Front Desk and Administrative Duties:
**

  • Serve as the primary receptionist, handling phone coverage, mail, scheduling conference rooms, and providing customer service as needed.
  • Manage emails, letters, packages, and phone correspondence.
  • Track and replace office, kitchen, and cleaning supplies to avoid shortages.
  • Maintain the postage meter, including supplies and refilling postage as needed.
  • Deliver outgoing mail to the post office daily.
  • Coordinate with cleaning staff to ensure office cleanliness.
  • Organize firm-related events, meetings, and travel plans for the FMAA conference for attorneys.
  • Manage office equipment, including coordinating with phone system vendors to maintain functionality and handle replacements as necessary.
  • Maintain and update the firm’s library, including purchasing new books, renewing publications, and updating inserts in current materials.
  • Work with neighboring businesses on shared expenses like dumpster billing and parking lot issues.
  • Coordinate office readiness for new attorneys and organize the movement of outgoing attorneys.
  • Provide support to other departments during staffing shortages, including assistance with wires, billing, dictation processing, and other duties as needed.

**Qualifications:
**

  • Proven experience as a bookkeeper, preferably in a law firm or professional services environment.
  • Proficiency with Juris accounting software is required.
  • Strong understanding of accounting principles and financial reporting.
  • Excellent organizational and multitasking skills.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

**Preferred Qualifications:
**

  • Experience in front desk or customer service support roles.
  • Familiarity with legal billing procedures and trust account management.
