Work Hours: 8:30 a.m. - 5:00 p.m.

Workdays: Monday – Friday

Location: 5315 Summit Parkway, San Antonio, TX, 78228

Summary:

The front desk/ admin assistant will be the first point of contact between the public and Caritas Legal Services by answering a multiline phone and receiving the public for consultations. This position is also required to assist staff with various office tasks such as making copies, filing, taking mail, processing payments, etc. The role requires verbal and written communication in Spanish with the public. Additionally, the assistant will help with file and data management of clients.

Position Responsibilities:
  1. Answers the telephone and directs calls appropriately.
  2. Receives clients for consultations or appointments and assists with forms.
  3. Accepts credit card and other payments from clients.
  4. Making copies and organizing client files as requested.
  5. Translate documents from Spanish to English and assist non-Spanish speaking staff with clients.
  6. Refers clients for additional services as needed.
  7. Receives and distributes mail.
  8. Completes tasks assigned by the Senior Director and Immigration Director.
  9. Assists in outreach presentations and attends outreach events.
  10. Participates in all department-sponsored functions.
  11. Maintains client database and assists in file and data management.
  12. Demonstrates sensitivity to the cultural and socioeconomic characteristics of the service population.
  13. Adheres to safety protocols daily to ensure safety and well-being.
  14. Protects confidentiality of client, donor, and organizational information.
  15. Follows the Code of Conduct and upholds the organization's faith and moral standards.
  16. Approaches interactions with a solution-oriented mindset, promotes teamwork, and aligns with the organization's mission and vision.
  17. Performs other duties as assigned by the Senior Director and/or Immigration Director.

Minimum Qualifications:
  • High School Diploma or GED.
  • At least 2 years of customer service experience, including 1 year in public relations.
  • Reliable transportation, valid driver’s license, and vehicle insurance.
  • Bilingual in Spanish and English preferred.
Minimum Knowledge and Skills:
  • At least 2 years of experience with Microsoft Outlook, data entry, and answering calls.
  • Extensive knowledge of customer service and credit card payment processing.
  • Proficiency with Microsoft Office Suite.
