Position Summary: The Front Desk Receptionist supports efficient office operations and provides a professional, welcoming experience for patients throughout their visit. This role is responsible for patient check-in and check-out, scheduling, insurance verification, payment collection, telephone support, and other administrative functions necessary to support patient care and clinic operations.

Front Desk Receptionists are expected to actively contribute to office workflow, maintain professionalism under pressure, communicate effectively with patients and coworkers, and demonstrate initiative, accountability, and adaptability in a fast-paced medical environment.

Role & Responsibilities

  • Greet and assist patients in a professional, friendly, and timely manner
  • Complete patient check-in and check-out processes accurately and efficiently
  • Verify and update patient demographic, insurance, and financial information
  • Scan insurance cards, identification, referrals, and other required documentation
  • Verify insurance eligibility, benefits, referral, and authorization requirements
  • Obtain or coordinate required referrals and authorizations as assigned
  • Collect copays, deductibles, outstanding balances, and other patient payments accurately
  • Enter and process charges and payments according to established procedures
  • Schedule follow-up appointments and assist patients with scheduling needs
  • Answer incoming telephone calls and assist with patient inquiries, scheduling, and routing of calls as appropriate
  • Process incoming messages, tasks, faxes, and administrative requests within expected timeframes
  • Provide patients with required forms, instructions, and other information and review for completeness when applicable
  • Complete daily cash, check, and credit card reconciliation procedures as assigned
  • Maintain accurate documentation and follow established procedures for handling patient payments and deposits
  • Maintain an organized, professional, and patient-ready front desk and waiting area
  • Provide coverage for check-in, check-out, phones, and other front office responsibilities as operationally needed
  • Follow HIPAA, OSHA, company policies, and applicable compliance standards at all times

Operational Expectations

  • Maintain active participation in office workflow throughout the workday
  • Demonstrate awareness of overall office operations and proactively assist where needed
  • Assist teammates during high-volume periods without requiring direction
  • Prioritize the patient in front of you while remaining attentive to incoming calls, waiting patients, and other front office responsibilities
  • Support timely patient flow by communicating delays, scheduling concerns, or operational issues appropriately
  • Balance patient-facing and administrative responsibilities while maintaining productivity and attention to detail
  • Demonstrate a sense of urgency appropriate for a fast-paced medical environment
  • Complete assigned tasks, follow-up items, messages, and documentation in a timely manner
  • Adapt positively to scheduling, staffing, operational, and workflow changes
  • Support different front office functions, Providers, or locations as needed for operational coverage
  • Escalate patient, insurance, payment, scheduling, or operational concerns to appropriate leadership when resolution is outside the scope of the role

Qualifications & Education Requirements

  • High school diploma or equivalent required
  • Previous medical office, healthcare, or customer service experience preferred
  • Experience with EMR/practice management systems and medical office workflows preferred
  • Familiarity with health insurance, eligibility, benefits, referrals, and authorizations preferred
  • Strong customer service, communication, computer, and data-entry skills required
  • Ability to maintain accuracy while managing frequent interruptions and competing priorities
  • Ability to work effectively in a fast-paced, patient-facing environment
