Job description

FoodPro Assistant Manager

Reporting to the FoodPro Manager, the FoodPro Assistant Manager will perform daily invoice entry and product maintenance within FoodPro. The role supports and guides units on daily inventory and invoicing activities, including developing and maintaining SOPs for receiving product from external vendors, transferring goods between Dining locations, taking weekly inventory, and providing report analysis to ensure optimal operational performance.

Responsibilities
  • Accurate entry of invoices into FoodPro and review of scanned invoices and EDI to resolve catchall numbers through communication with Dining Hall staff.
  • Monitor credits indicated on invoices versus credits claimed on vendor payment portal; enter credit memos into FoodPro.
  • Audit and verify inventory counts and procedures on predetermined rotation cycles; conduct forensic examination of product credits vs purchases vs amount on hand.
  • Monitor and analyze Location Cost Summary and Inventory Analysis weekly reporting; investigate issues causing report anomalies.
  • Create inventory numbers and add them to the relevant FoodPro locations with correct inventory and purchase units and pack ratios, including vendor order numbers, brand information, UPC, etc.
  • Communicate new inventory information to the Associate Director for Culinary Development/Certified Executive Chef, Nutrition team, POS Manager, FoodPro Manager, and production team.
  • Report issues or irregularities to FoodPro Manager and Executive Chef.
  • Serve as backup to FoodPro Manager and Point‑of‑Sale Manager; assist with FoodPro duties and special projects as needed.
  • Provide training and support to all units on receiving goods and using FoodPro; establish inventory, schedule cycles, and special event menus.
  • Maintain Master List Management software for Prime Vendor ordering; troubleshoot out‑of‑stock items and update associations in MLM software and FoodPro.
  • Represent the department at committee meetings, campus events, and external food‑service organization meetings.
Qualifications
  • High school diploma or equivalent.
  • Extremely well‑organized with strong analytical skills and attention to detail.
  • Able to maintain records and prepare reports accurately.
  • Capable of meeting deadlines and managing time effectively.
  • Strategic planning and logistical execution of workflows.
  • Ability to manage through crisis and extenuating circumstances.
  • Strong relationship‑building skills; consummate team player.
  • Works autonomously with little supervision and troubleshoots challenges.

Physical Demands

Regularly sits; occasionally stands/walks. Frequently lifts and/or moves 20‑50 lbs. Driving is a responsibility of this position. The position requires direct interaction with security systems, handling confidential records, and may include pre‑employment drug testing per university policy.
