Job summary

Sharps Medical Waste Services seeks a Fleet Support Coordinator to provide administrative and operational help for our fleet program across owned, leased, and rental vehicles. You will maintain fleet records, manage fuel-card processes, and coordinate with Operations, Finance, and vendors to ensure accurate documentation and timely issue resolution.

Ideal candidates are highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced setting.

Qualifications

  • High school diploma or equivalent is required; further studies in logistics or business administration are a plus.
  • 1–3 years of experience supporting fleet, transportation, logistics, operations, or administrative functions preferred.
  • Experience with fuel card administration, driver PIN management, and fleet documentation is a plus.

Responsibilities

  • Coordinate fuel card requests, replacements, deactivations, unlocks, and driver PIN management.
  • Serve as primary administrative contact for fuel card issues with vendors and internal teams.
  • Maintain fleet records in Samsara and other systems (VINs, plates, registration, lease ownership).
  • Coordinate title transfers, registrations, and vehicle documentation updates.
  • Assist with processing for vehicle sales, transfers, rentals, and lease updates.
  • Track lease expirations and communicate renewal needs to leadership.
  • Review fleet invoices for accuracy and assist with questions and vendor follow-up.
  • Maintain organized electronic fleet files and vendor records.
  • Prepare spreadsheets and fleet reports for Operations and leadership.
  • Collaborate across departments to ensure responsive fleet support.

As a Fleet Support Coordinator, you will provide administrative and operational support for the company’s fleet program across owned, leased, and rental vehicles. This role plays a key part in maintaining accurate fleet records, supporting fuel card administration, coordinating vendor activity, tracking invoices and lease information, and ensuring fleet documentation remains organized, current, and compliant. Working closely with Operations, Finance, Accounts Payable, leasing vendors, fuel providers, and internal stakeholders, you will help maintain an efficient and responsive fleet support function. This role is ideal for someone who is highly organized, detail-oriented, responsive, and thrives in a fast-paced operational environment with multiple priorities. Key Responsibilities


  • Coordinate fuel card requests, replacements, deactivations, unlocks, and driver PIN management.

  • Serve as the primary administrative contact for fuel card-related issues with Mansfield and internal Operations teams.

  • Maintain accurate fleet records within Samsara and other operational systems, including VINs, license plates, unit numbers, registration data, and ownership or lease information.

  • Coordinate title transfers, registration renewals, replating activities, and vehicle documentation updates.

  • Support administrative processing for vehicle sales, transfers, rentals, and lease-related updates.

  • Track lease expirations and communicate replacement or renewal needs to leadership and Operations teams.

  • Review fleet-related invoices for accuracy and assist with coding questions, disputes, credits, and vendor follow-up.

  • Maintain organized electronic fleet files, lease documents, invoices, vendor records, and operational correspondence.

  • Prepare spreadsheets, fleet reports, tracking logs, and administrative summaries to support Operations and leadership teams.

  • Collaborate cross-functionally with Operations, Finance, Accounts Payable, vendors, and internal stakeholders to ensure responsive fleet support and timely issue resolution.

  • Other additional duties as required.


Requirements


  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field preferred.

  • 1–3 years of experience supporting fleet, transportation, logistics, operations, or administrative functions preferred.

  • Experience with fuel card administration, driver PIN management, fleet records, or vehicle documentation preferred.

  • Familiarity with Samsara, Mansfield, Ryder, Enterprise, Idealease, or similar fleet systems and vendors is a plus.

  • Strong organizational, administrative, and follow-up skills with high attention to detail.

  • Ability to manage multiple priorities and maintain accurate records in a fast-paced environment.

  • Intermediate Microsoft Excel skills preferred, including spreadsheets, filters, and data tracking.

  • Professional written and verbal communication skills with the ability to work cross-functionally across departments.

  • Strong problem-solving skills with the ability to resolve issues efficiently and professionally.

  • Ability to maintain confidentiality and accuracy when handling company records and vendor information.
