Responsibilities include keeping SOPs, coordinating maintenance, tracking permits, and supervising drivers with HR for staffing and performance. A proactive, detail-oriented approach is essential.

Qualifications

• Experience with DOT, FMCSA, and EPA vehicle requirements.
• Knowledge of permits: HAZMAT, IRP, IFTA, UCR.
• Ability to maintain licenses, registrations, and insurance renewals.
• Experience documenting maintenance and inspections.

Job Summary

The Fleet Manager is responsible for ensuring the compliant and efficient operation of the company's fleet and transportation assets. This includes managing vehicle maintenance, maintaining DOT and EPA records, tracking licensing, registration, and permits, and ensuring readiness for audits and inspections. The role requires a proactive approach to maximizing operational uptime and controlling fleet costs.

Key Responsibilities

1. Regulatory Compliance & Permits

• Ensure the fleet meets DOT, FMCSA, and EPA vehicle and emissions requirements.
• Maintain permits (HAZMAT, IRP, IFTA, UCR) and ensure timely renewal.
• Track vehicle licensing, registration, and insurance renewals.
• Maintain DOT inspection records and equipment compliance documentation.

2. Fleet Management

• Maintain maintenance records, inspection logs, and repair history for all vehicles and trailers.
• Coordinate preventive maintenance (PM) schedules and track compliance.
• Monitor vehicle telematics and GPS for route adherence and equipment performance.
• Schedule and document annual DOT vehicle inspections.
• Manage approved repair vendors and control maintenance and repair costs.

3. Documentation & Auditing

• Develop and distribute fleet Standard Operating Procedures (SOPs).
• Prepare maintenance and compliance documentation for audits and inspections.
• Maintain accurate, up-to-date records of maintenance, repairs, and regulatory filings.

4. Reporting & Filing

• Submit monthly, quarterly, and annual reports as required (e.g., IFTA, HAZMAT).
• Keep updated records of maintenance, vehicle performance, and compliance reviews.
• Maintain permits (HAZMAT, IRP, IFTA, UCR) and ensure timely renewal.

5. Driver Staffing & Personnel

• Recruit, interview, and hire qualified drivers to meet fleet staffing needs, in coordination with HR.
• Verify driver qualifications, licensing, and endorsements as part of the hiring process.
• Oversee driver onboarding and set performance expectations.
• Manage driver performance, issue progressive discipline, and make termination decisions in coordination with HR.
• Maintain accurate personnel and staffing records for the driver workforce.
