Job summary

1st Fire Protection Services seeks an experienced Fleet Manager to oversee our fleet of 100+ vehicles and equipment across Texas. You will manage maintenance programs, records, and vendor relations to ensure safe, compliant, and cost-effective operations.

Responsibilities include budgeting support, accident reporting coordination, and collaboration with Safety and Operations teams to minimize downtime and maximize readiness.

Qualifications

  • 3–5 years in fleet management or related field.
  • High School Diploma required; degree preferred.
  • Experience with DOT/FMCSA compliance.

Responsibilities

  • Manage fleet of vehicles, trailers, and equipment for safety, reliability, and availability.
  • Maintain records for all vehicles/equipment (VINs, mileage, registrations, inspections, maintenance, repairs, replacement schedules).
  • Develop and manage preventative maintenance schedules and coordinate routine maintenance, inspections, and services.
  • Coordinate with dealerships, repair facilities, and vendors for timely, cost-effective service.
  • Monitor maintenance costs and review invoices/estimates for accuracy.
  • Coordinate vehicle assignments, transfers, replacements, and disposal.
  • Ensure fleet is registered, inspected, licensed, and compliant with applicable rules.
  • Collaborate with Safety Department to promote safe vehicle operation.
  • Oversee accident reporting process and insurance coordination.
  • Monitor fuel card activity and identify cost-saving opportunities.
  • Maintain vendor relationships and evaluate performance.
  • Maintain fleet management software and related systems.
  • Work with Operations to minimize downtime and ensure availability.
  • Assist annual fleet budgeting and vehicle replacement planning.

Job description

We are seeking an experienced Fleet Manager to join our team. Privately held fire protection company with 171+ employees in 9 Texas locations and over 100 vehicles, trailers, and related equipment.

The Fleet Manager is directly responsible for the overall administration, coordination, maintenance, safety, compliance, and cost management of the company’s fleet of vehicles, trailers, and related equipment.

Responsibilities
  • Manages the company's fleet of vehicles, trailers, and related equipment to ensure they are safe, reliable, properly maintained, and available for daily operations.
  • Maintains accurate records for all company vehicles and equipment, including vehicle assignments, VINs, mileage, registration, inspections, maintenance, repairs, and replacement schedules.
  • Develops and manages preventative maintenance schedules and coordinates routine maintenance, inspections, repairs, tires, oil changes, and other vehicle services.
  • Coordinates with dealerships, repair facilities, towing companies, parts suppliers, and other fleet vendors to ensure timely and cost-effective service.
  • Monitors vehicle maintenance and repair expenses and reviews invoices and repair estimates for accuracy.
  • Coordinates vehicle assignments, transfers, additions, replacements, and disposal of vehicles and equipment.
  • Ensures company's fleet vehicles are properly registered, inspected, licensed, and maintained in compliance with applicable federal, state, and local requirements.
  • Works closely with the Safety Department to promote safe vehicle operation, driver compliance, accident prevention, and vehicle inspection procedures.
  • Manages the company vehicle accident reporting process, including coordinating repairs, insurance claims, documentation, and communication with employees, management, and insurance providers.
  • Monitors fuel card activity, fuel consumption, mileage, and other fleet-related expenses and identifies opportunities to reduce operating costs.
  • Maintains relationships with fleet vendors and assists with obtaining quotes, negotiating pricing, and evaluating vendor performance.
  • Maintains and manages fleet management software and other systems used to track vehicles, maintenance, fuel, inspections, registrations, and expenses.
  • Works closely with Operations to ensure vehicles and equipment are available when needed and minimize vehicle downtime.
  • Assists with annual fleet budgeting, vehicle replacement planning, and recommendations regarding the purchase, repair, or replacement of vehicles and equipment.
  • Maintains accurate and confidential fleet records and provides regular reports to management regarding fleet costs, maintenance, utilization, accidents, and vehicle replacement needs.
  • Performs other job-related duties as assigned.
Qualifications
  • Minimum 3-5 years of experience in fleet management, transportation, automotive, construction, or a related field.
  • High School Diploma or equivalent required; Associate's or Bachelor's Degree in Business, Operations, Transportation, or related field preferred.
  • Demonstrated knowledge of vehicle maintenance, preventative maintenance programs, and fleet operations.
  • Experience managing commercial vehicles, trucks, trailers, and work vehicles preferred.
  • Proficiency in Microsoft Office tools, particularly Excel.
  • Strong organizational, analytical, problem-solving, and prioritization skills.
  • Strong oral, written, and interpersonal skills.
  • Ability to work effectively with employees, operation leaders, vendors, repair facilities, and insurance providers.
  • Knowledge of DOT/FMCSA requirements and commercial vehicle compliance preferred.
  • Construction and Service Industry preferred.
  • Experience with fleet management software and fuel card programs a plus.
  • Bilingual is a plus.
Physical and Other Requirements
  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to routinely inspect vehicles, trailers, and equipment.
  • Occasionally lift up to 50 pounds and perform physical activities including walking, bending, stooping, reaching, and climbing as necessary to inspect fleet vehicles and equipment.
  • Ability to work outdoors and in varying weather conditions when inspecting vehicles or visiting repair facilities, company locations, or job sites.
  • Daily travel between company locations, vehicle yards, repair facilities, and other locations as needed.
