Job summary

Meals on the Bus is seeking an experienced Fleet Manager to oversee a 20+ vehicle fleet across New York City’s Five Boroughs and Upstate NY. You will manage rentals, leases, maintenance, fuel programs, and compliance to ensure safe, efficient daily operations.

The role requires strong vendor management, detail orientation, and a proven track record in cost control. You’ll coordinate with operations, dispatch, and drivers to keep routes running smoothly.

Qualifications

• Proven experience as a Fleet Manager or similar role managing 20+ vehicles.
• Strong knowledge of vehicle leasing, rentals, maintenance, and fuel management.
• Familiarity with NYC and Upstate NY driving environments and regulations.
• Excellent organizational and vendor management skills.
• Strong problem-solving and cost-control mindset.
• Proficiency with fleet management systems and spreadsheets.
• Valid driver’s license.

Responsibilities

Position Overview

We are seeking an experienced and detail-oriented Fleet Manager to oversee and manage a fleet of 20+ trucks and vans operating across New York City’s Five Boroughs and Upstate New York. This role is responsible for the full lifecycle of fleet operations, including rentals and leases, maintenance, compliance, fuel management, and cost control to ensure safe, efficient, and uninterrupted daily operations.

Key Responsibilities

Fleet Operations & Asset Management

• Manage daily operations of company-owned, leased, and rented trucks and vans
• Maintain accurate records of all vehicles, including registration, insurance, inspections, and permits
• Track vehicle assignments across multiple locations and routes
• Monitor vehicle utilization and recommend optimization strategies

Rentals & Lease Management

• Oversee fleet rentals and leasing agreements
• Track lease terms, mileage limits, and lease due dates
• Coordinate vehicle returns, replacements, and renewals
• Communicate with vendors to negotiate pricing and service terms

Maintenance & Repairs

• Develop and manage preventive maintenance schedules
• Coordinate routine servicing, inspections, and emergency repairs
• Work with approved vendors and repair shops to minimize downtime
• Ensure compliance with DOT and state vehicle safety regulations

Fuel & Expense Control

• Manage gas/fuel card programs, including issuance, monitoring, and reconciliation
• Track fuel usage and identify cost-saving opportunities
• Review fleet-related expenses and prepare regular reports

Compliance & Safety

• Ensure vehicles meet all local, state, and federal requirements
• Maintain inspection and service records
• Support safety initiatives and accident reporting procedures

Reporting & Coordination

• Prepare fleet performance and cost reports for management
• Coordinate with operations, dispatch, and driver teams
• Respond promptly to fleet-related issues across all service areas

Company Description

Meals on the Bus is a distribution service providers. We manage meals delivery across New York State. A driver is expected to handle meal box delivery to home/ resident premises or bulk deliveries of shelf stable product. We use software and tools to manage the delivery routes daily and drivers will be using it in order to accomplish tasks. There'll be a training provided for drivers.
