Job summary

Elijah House Foundation is seeking a Fleet Compliance Coordinator to help establish and review driver qualification files for CDL holders, maintain regulatory records, and coordinate communication between Transportation and HR to ensure DOT compliance with third-party vendors.

The role involves reviewing DOT policies, ordering and auditing required documents, maintaining accounts, and supporting compliance reporting and recordkeeping.

Qualifications

  • Strong organization, communication, and interpersonal skills; ability to meet deadlines.
  • Familiarity with company policies, procedures and practices; familiarity with distribution center positions.
  • Intermediate computer skills; ability to use Adobe PDF, OneNote, Word, Excel, PowerPoint, and payroll systems such as Lawson and KRONOS.
  • Detail oriented.
  • Exposure to changing climatic conditions and extreme heat and cold.
  • Occasionally required to walk long distances within the distribution center.
  • Sitting for long periods of time in an office environment.
  • Up to 20% travel required to buildings and partnership locations.

Responsibilities

  • Review and maintain current DOT policies and procedures.
  • Ensure DOT driver qualification documentation are sent to vendor(s) according to regulation efficiently and thoroughly.
  • Order and audit Motor Vehicle Reports, Medical Examiner’s Certifications, CDL, and DOT Drug Screens to ensure compliance with DOT qualifications.
  • Complete routine compliance maintenance of active and terminated accounts with 3rd party systems.
  • Partner and monitor Microsoft Teams files with Safety Supervisors to document roadside inspections and accident reports.
  • Assist Fleet Compliance Supervisor with random drug and alcohol compliance reporting according to DOT regulation.
  • Maintain compliance data, records, and acknowledgements; assist with new hire paperwork.
  • Coordinate and maintain confidential personnel records; answer general driver qualification inquiries.
  • Process paperwork, review ongoing driver qualification files, assist with ongoing compliance and verify DOT-mandated reference checks.
  • May log and process DOT-mandated compliance checks.
  • May maintain and distribute compliance report(s) for distribution center.
  • Partner with employees and management to communicate various compliance policies, procedures, laws, standards, and government regulations.

Job description

The Fleet Compliance Coordinator will assist with establishing and reviewing driver qualification files for internal and external CDL holder positions within the organization, maintaining records ensuring regulatory compliance, and coordinating communication between Transportation and Human Resources to ensure compliance requirements are met and maintained with 3rd party vendor(s).

Job Details
  • Review and maintain current U.S. Department of Transportation ("DOT") policies and procedures.
  • Ensure all needed DOT driver qualification required documentation are sent to vendor(s) according to regulation efficiently and thoroughly. Documents include:
    • DOT Medical Examiner’s Certification
    • Motor Vehicle Report Compliance
    • DOT Drug Screening & ClearingHouse
    • Safety Performance History Request(s)
    • DOT Long Form Driver Application
    • Commercial Driver License
  • Order and audit Motor Vehicle Reports, Medical Examiner’s Certifications, Commercial Driver License, and DOT Drug Screen(s) to ensure compliance with Dollar General and DOT specific qualifications.
  • Complete routine compliance maintenance of active and terminated accounts with 3rd party compliance systems.
  • Partner and monitor Microsoft Teams files with Safety Supervisors to document roadside inspection(s) and accident and injury report(s) in Microsoft Teams files timely and accurately.
  • Assist Fleet Compliance Supervisor with random drug and alcohol compliance reporting according to DOT regulation.
  • Maintain compliance data, records, and acknowledgement(s); assist with preparation of new hire paperwork. Coordinate and maintain confidential personnel records, answer general driver qualification questions and inquiries regarding compliance with the DOT.
  • Process paperwork, review ongoing driver qualification files, assist with ongoing compliance and verify DOT-mandated reference checks.
  • May log and process DOT-mandated compliance checks.
  • May maintain and distribute compliance report(s) for distribution center.
  • Partner with employees and management to communicate various compliance policies, procedures, laws, standards, and government regulations.
