Job summary

Dondlinger Construction Company is seeking a Fleet Administrator to provide administrative support for the crane and vehicle fleet. You will track equipment locations, maintain maintenance/compliance records, and ensure accurate billing for equipment usage.

Responsibilities include coordinating with project teams, updating the Tenna system, and supporting accounting with payables/receivables related to fleet operations. A strong eye for detail and reliable teamwork are essential.

Qualifications

• 2+ years of administrative, office coordination, or clerical experience.
• Proficiency with Microsoft Office (Excel, Outlook, Word) and ability to learn fleet management or ERP software.
• Experience with data entry, recordkeeping, and document management.
• Strong written and verbal communication skills across field, yard, shop, and office teams.
• Must operate in a manner consistent with company values (Skill, Integrity, and Responsibility).
• Valid driver’s license.

Responsibilities

• Track location, assignment, and status of fleet assets (cranes, heavy equipment, company vehicles).
• Monitor on-site duration, return/transfer dates, and flag idle or overdue equipment.
• Maintain Tenna fleet system with locations, hours, and movement between sites.
• Coordinate with project teams and yard/dispatch staff for equipment needs and deliveries.
• Track equipment rented from vendors, including start/end dates and rates.
• Prepare and process equipment billing, allocating usage to jobs and cost codes.
