The Fleet Administrator provides administrative and coordination support for the organization’s vehicle fleet and related assets. This position maintains accurate title, registration, license plate, ownership, expiration, and lifecycle information; processes vehicle documentation; and supports fleet acquisitions, relocations, contract startups, location transitions, recalls, leasing, and disposal activities. The role works across Safety, Maintenance, Operations, and Fleet and requires accuracy, responsive customer service, strong organization, and dependable follow-through with limited direct supervision.Essential Duties and ResponsibilitiesFleet records and systemsUpdate the company’s fleet-management system with current title, registration, license plate, ownership, and expiration information.Review fleet records and supporting documents for completeness and accuracy, research discrepancies, and coordinate required corrections.Titles, registrations, and license platesProcess vehicle titles, registrations, renewals, transfers, replacements, and corrections in accordance with established requirements.Coordinate license plate issuance, transfers, replacements, returns, and related record updates.Track expiration dates and maintain accurate supporting documentation to help ensure renewals and other transactions are completed on time.Vehicle acquisition, movement, and lifecycle supportSupport registration and documentation requirements associated with fleet acquisitions, contract startups, and location transitions.Track and communicate vehicle relocations according to the approved plan, confirm completion, and ensure applicable records are updated.Assist with the procurement, leasing, and disposal of vehicles and other assets.Maintain accurate records for vehicles sold, traded, transferred, retired, or removed from service.Contract, recall, and compliance coordinationAssist with ordering vehicle decals and identification materials when requested or required to meet contract requirements.Track and record applicable vehicle recalls and campaigns and ensure the maintenance-management system is updated for affected vehicles.Work with Safety, Maintenance, Operations, and Fleet personnel to resolve vehicle documentation or compliance issues.Financial and departmental supportAssist with invoice review, fee reconciliation, and coding of title and registration expenses.Provide administrative support to the Fleet & Facilities Manager, communicate progress or obstacles, and complete other assigned fleet and facilities tasks.Knowledge, Skills, and AbilitiesFamiliarity with vehicle title and registration processes and vehicle leasing programs.Effective written and verbal communication skills with a strong customer-service orientation.Ability to organize and prioritize work, maintain records, follow through, and complete assigned tasks with limited direct oversight.High degree of accuracy and attention to detail when processing documents and maintaining fleet data.Ability to work collaboratively with cross-functional teams, operating locations, vendors, and government agencies.Minimum QualificationsHigh school diploma or equivalent.A minimum of three years of work experience as an Administrative Manager.Valid driver’s license and an acceptable driving record.Must possess a current notary public commission (license) or be willing and able to obtain one within 90 days of hire.Proficiency with Microsoft Excel, Outlook, Word, and electronic document-management systems.Pennsylvania Department of Transportation (PennDOT) title and registration experience is strongly preferred.Performance ExpectationsSuccess is demonstrated through accurate fleet and financial records, timely title and registration transactions, dependable lifecycle tracking, responsive customer service, and consistent completion of assigned work.
