Job summary

Rochester Motor Cars is seeking a Fixed Operations Support Administrator to assist delegated stores with service contract submissions, payments, and closing repair orders in the Dealer Management System. The role involves inputting pricing as needed and backing up Fixed Operations Administrators and Warranty Administrators.

You will handle daily, weekly, and monthly tasks, ensuring RO closures, contract submissions, and accurate accounting before year-end, with compliance to FTC regulations and

Fixed Operations Support Administrator

Department: Shared Services

Reports to: Fixed Operations Administrative Lead

Salary Range: $22 - $26

Job Summary

The Fixed Operations Support Administrators will support delegated stores by completing service contract/ fleet/OEM submissions and payments, and closing repair orders in the Dealer Management System, input pricing when needed, and back up to our Fixed Operations Service Administrators & Warranty Administrators.

Core Responsibilities

Daily

• Close repair orders for delegated stores
• Service contract authorization submissions
• Service contract payments posted to DMS
• OEM/Fleet/Road hazard/LTPG submissions
• Resolve claim errors
• Input or correct pricing on ROS

Weekly

• Review open RO report and ensure they are closed in a timely manner
• Review accounts within DMS

Monthly

• One on One with Fixed Operations Team Lead

Month-End

• Ensure all open RO’s that can be closed for the month, are closed

Quarterly

• Review accounts with Fixed Operations Team Lead

Year-End

• Review all accounts by end of January to ensure they are ready for audit
• If any 12th month adjusting entries need to be completed, this needs to be communicated to Fixed Operations Team Lead by Dec 31st.
• Ensure account transaction descriptions and supporting documentation for bodyshop accounts are saved to the M drive for December GL

Other Responsibilities

• Maintain the integrity of the FTC regulations
• Complies with the employee handbook, company, & departmental policies
• Cross training
• Organizing and maintaining paperwork

Job Requirements

• Strong analytical skills and a sense of urgency
• Previous automotive accounting experience preferred, but not necessary.
• Team player focused on efficiency and accuracy.
• Strong communication skills via email/phone
• Good organization skills with attention to detail
• Critical thinker and effective time managerExperience with Microsoft Office/Excel
