CultureWorks Greater Philadelphia is seeking a **Fiscal Sponsorship Manager, Operations & Community Engagement** to steward a portfolio of fiscally sponsored projects. You will manage onboarding/offboarding, HR coordination, compliance, and operations while fostering strong relationships with project directors and partners.

This hybrid role emphasizes collaborative problem-solving, process improvement, and proactive service across staff, members, and funders.

Qualifications

  • 5+ years in nonprofit administration, operations or project coordination.
  • Experience with fiscal sponsorship, nonprofit finances, operations and fundraising.
  • Bookkeeping/ accounting experience beneficial.
  • Strong organizational and administrative management skills.

Responsibilities

  • Lead intake, onboarding, orientation, annual recertification and offboarding for fiscally sponsored projects.
  • Provide HR support and hiring coordination for sponsored project staff.

Position Overview

CultureWorks serves as the nonprofit home to 90+ fiscally sponsored projects across the cultural, heritage, and social impact sectors, reflecting Philadelphia’s diverse cultural community. The Fiscal Sponsorship Manager, Operations & Community Engagement serves as a primary point of contact and administrative support lead for a portfolio of fiscally sponsored projects, handling crucial functions in bookkeeping, administrative support, fundraising support, legal/nonprofit compliance, and more.

This role works in close collaboration with CultureWorks’ existing Fiscal Sponsorship Manager and broader staff team to ensure projects receive timely, accurate, relationship-centered support throughout their lifecycle within the organization. The Fiscal Sponsorship Manager, Operations & Community Engagement will help lead onboarding and offboarding processes for fiscally sponsored projects, maintain strong in-person relationships with project directors, support internal operational systems and communications platforms (including Notion), and will serve as the primary point of contact for an assigned portfolio of projects.

The ideal candidate is highly organized, technologically fluent, detail-oriented, and deeply collaborative. They should bring a strong balance of operational depth and relationship-centered coordination, with the ability to manage complex systems while helping people move effectively toward shared goals. The strongest candidates will be able to both steward detailed administrative workflows and serve as a steady, communicative point of connection across projects, staff, and stakeholders. This role is highly relational in nature, and we are seeking someone who genuinely enjoys relationship-building, collaborative problem-solving, and customer service-oriented work. We are especially interested in candidates with longstanding lived experience in Philadelphia and familiarity with the city’s arts, culture, heritage, and social impact ecosystems.

Skills & Experience

5+ years of experience in nonprofit administration, operations, project coordination, or related fields, with general knowledge of fiscal sponsorship, nonprofit finances, operations, and fundraising.

Training and experience in bookkeeping and/or nonprofit accounting.

Experience in event production, with a particular focus in curating events based on feedback from a membership base and producing opportunities for technical support.

Exceptional organizational, coordination, and administrative management skills, with the ability to handle multiple workflows simultaneously.

Strong customer service and interpersonal communication skills, with the ability to communicate complex operational information clearly and compassionately.

Highly detail-oriented and systems-minded, with an ability to improve and maintain operational infrastructure.

Demonstrated comfort utilizing workplace technologies and digital operational systems, including Google Workspace, CRMs, databases, accounting software, project management tools, and collaborative platforms such as Notion. Familiarity with Sage Intacct is a plus.

Comfortable learning and adapting to evolving technologies, including AI-supported operational tools, while maintaining strong discernment and critical thinking.

Ability to work both independently and collaboratively within a highly interdependent team environment. Candidates who naturally embody strong “team worker” and collaborative coordination traits are especially encouraged to apply.

Strong judgment, discretion, and ability to manage confidential information professionally.

Proactive problem-solving and healthy conflict management skills.

Longstanding lived experience in Philadelphia strongly preferred, alongside deep familiarity with the city’s arts, culture, heritage, and social impact sectors.

Entrepreneurial, startup, coworking, or shared-services experience is a plus.

Primary Responsibilities
Project Lifecycle

Lead the intake, onboarding, orientation, annual recertification, and offboarding processes for fiscally sponsored projects, ensuring projects are successfully integrated into organizational systems and workflows throughout their lifecycle.

Provide HR support and hiring coordination for fiscally sponsored project staff, in collaboration with the Senior Finance Director.

Ensure projects remain compliant with nonprofit and business regulations, communicating proactively regarding operational or compliance issues that may arise.

Administrative Operations

Coordinate legal referrals, insurance requests, Certificates of Insurance (COIs), annual assessments of project insurance needs, lease-related processes, and other operational compliance needs.

Support internal communications systems and operational infrastructure, including maintaining and organizing information within Notion and supporting the production of member focused newsletter communications.

Develop a thorough understanding of the Fiscal Sponsorship Manual, organizational policies and procedures, and operational platforms (including Notion, AirSlate, Google Workspace, Nexudus, and related systems).

Manage the CultureWorks intern, when necessary, to support basic front desk and space coverage needs for coworking members.

Community Engagement & Programming

Collaborate with staff to plan and implement workshops, networking events, training sessions, onboarding resources, Third Thursdays, the Member Summit, and other community-building initiatives, with a focus on uplifting the profile of fiscally sponsored projects.

Collaborate with the Communications team to thoughtfully represent members and fiscally sponsored projects across organizational materials, while also helping cultivate and maintain strong relationships with funders, partners, and community stakeholders.

Support the Executive Director in managing volunteer efforts at the board level and within the Community Council, a group of coworking members that supports the functions of the space.

Track and organize news, developments, opportunities, and announcements from across the fiscal sponsorship community, identifying information relevant to CultureWorks and its fiscally sponsored projects.

Curate and maintain resources that support the broader cultural community, collaborating with the communications team to share relevant information through monthly newsletters, social media posts, and other communications channels.

Customer Support & Project Success

Serve as a trusted operational partner to fiscally sponsored projects, supporting project directors in navigating operational, compliance, workforce, and organizational processes while maintaining regular, proactive communication with warmth, responsiveness, and care.

Build strong in-person relationships with project directors through regular onsite engagement and community presence.

Respond to emails, support tickets, and operational requests related to the fiscal sponsorship program and coworking space in a timely and solutions-oriented manner.

Foster a member-driven culture of collaboration, accountability, innovation, and high-quality service delivery.

Shared Responsibilities

Work collaboratively alongside the Fiscal Sponsorship Manager, Finance & Development to support the overall health and success of the fiscal sponsorship portfolio.

Participate in weekly team meetings, staff one-on-ones, project check-ins, and internal planning conversations.

Maintain a working knowledge of financial systems and processes to effectively support project directors and collaborate with the Finance & Development Manager.

Provide backup support for Accounts Receivable, Accounts Payable, PEX card management, financial reporting, and other finance functions during staff absences or peak workload periods.

Cross-train on duties handled by the Fiscal Sponsorship Manager, Finance & Development to provide coverage as needed.

Other duties as assigned.

Reports to: Executive Director, with day-to-day supervision from the Senior Finance Director
Hours/Status: Full-time, exempt
Salary: $65,000 annually plus benefits
Location: Hybrid, minimum 3 days/week onsite in Philadelphia
Anticipated Start Date: Late September/Early October 2026

Compensation

This is a full-time exempt position, averaging 35–40 hours/week. Weekly hours may be flexible as long as there is consistent availability during standard business hours (Monday–Friday, 10am–5pm), as well as occasional evening/weekend events.

This is a hybrid position requiring a minimum of 3 business days onsite each week in Philadelphia, typically Tuesday–Thursday.
