Job summary

University of Washington in Seattle seeks a Fiscal Specialist 2 to provide payroll, financial reporting, and administrative support for the Environmental Services department. This role handles payroll processing, reports, and vendor documentation through Ariba, UKG, Epic, and MS Office.

Qualifications

  • Two years of experience equivalent to Fiscal Specialist I.
  • Completion of 15 quarter credits or 10 semester credits of college-level accounting coursework, or equivalent education and experience.
  • An equivalent combination of education and experience may substitute for stated requirements.

Responsibilities

  • Process employee payroll, leave entitlements, orientation hours, payroll corrections, and status changes.
  • Review timesheets, resolve payroll exceptions, and reconcile FTE allocations for accurate payroll.
  • Monitor financial records and respond to payroll and fiscal inquiries according to policy.
  • Prepare payroll, fiscal, and operational reports and assist with budget forecasting and planning.
  • Process invoices and travel transactions through Ariba and maintain vendor records.
  • Analyze payroll and financial data, identify issues, and recommend process improvements.
  • Serve as secondary administrative support for the Environmental Services department.
  • Answer phones, route calls, and provide service to staff, patients, and visitors.
  • Maintain filing systems and support departmental reports and projects.
  • Utilize UKG, Epic, Ariba, MS Office and other databases to support daily operations.

POSITION HIGHLIGHTS

Provide fiscal, payroll, and administrative support for the Environmental Services (EVS) department. This position performs payroll processing, financial reporting, recordkeeping, and administrative functions to support daily operations while ensuring compliance with UW Medicine policies and procedures.

Primary Job Responsibilities
  • Process employee payroll, leave entitlements, orientation hours, payroll corrections, and status changes.
  • Review timesheets, resolve payroll exceptions, and reconcile FTE allocations to ensure accurate and timely payroll processing.
  • Monitor financial records and respond to payroll and fiscal inquiries in accordance with established policies and procedures.
  • Prepare payroll, fiscal, and operational reports and assist with budget forecasting and departmental planning.
  • Process invoices and travel-related transactions through Ariba and maintain vendor records and supporting documentation.
  • Analyze payroll and financial data, identify issues, and recommend process improvements.
  • Serve as secondary administrative support for the Environmental Services department.
  • Answer multi-line phones, route calls, respond to inquiries, and provide customer service to staff, patients, and visitors.
  • Maintain electronic and manual filing systems and support departmental reports, projects, and committee activities.
  • Utilize systems including UKG, Epic, Ariba, Microsoft Office, and other databases to support daily operations and ensure compliance with UW Medicine policies and procedures.
Requirements
  • Two years of experience equivalent to Fiscal Specialist I.
