Job summary

Seniors Council of Santa Cruz and San Benito Counties seeks a fiscally skilled paraprofessional to support accounting, grant management, payroll, purchasing, A/P and A/R. Under the Fiscal Officer, you will analyze financial data, prepare reports, and maintain records.

The role requires two years of accounting experience or equivalent training; knowledge of QuickBooks Desktop, Excel, and Office procedures is essential.

Qualifications

  • Two years increasingly responsible experience in a professional setting performing basic accounting duties or equivalent training.
  • A. or equivalent training program in accounting, or
  • A combination of educational and professional experience equivalent to the above two criteria.

Responsibilities

  • Coordinate and perform complex accounting duties including grant management, payroll, accounts payable and receivable.
  • Prepare monthly expenditure reports and reconciliations for service providers.
  • Process payroll and payroll taxes; manage 403b payments and staff timesheets.
  • File quarterly and year-end payroll tax forms; assist in audits and monitoring.

Job description

Under the general supervision of the Fiscal Officer, coordinates and performs a variety of complex, technical, and responsible paraprofessional fiscal and administrative duties in support of agency operations including general accounting, grant management, payroll, purchasing, accounts payable and accounts receivable; works cooperatively with other staff and the fiscal team; and performs related duties.

Duties & Responsibilities:
Daily or weekly, as needed
  • Responsible for grant management for Service Providers, and liaison to their fiscal staff
  • Stay in close contact with Service Providers fiscal staff
  • A/P – Review and print checks for all vendors (backup to Fiscal Assistant)
  • A/R – Grant funding, local funds, donations
  • Analysis of financial data for reporting and adjusting
  • Respond to emails from inside or outside the organization
  • Payment vouchers (backup to Fiscal Assistant)
  • Create bank deposits and go to bank
  • Attend Staff meetings, Finance Committee, Board, Fiscal Committee, Program Directors, and others as needed
  • Filing and organizing
  • Payroll and Payroll tax filing, 403b payments, and Staff timesheets
Monthly or quarterly as needed
  • Prepare and enter Service Providers monthly expenditure reports
  • Maintain Service Provider Reconciliation Spreadsheets for all providers
  • Maintain grant expense / advance reconciliations for all grants
  • Allocate non-federal expenses to local funders to spend out awards
  • File monthly expenses into CA Department of Aging portal for all State grants
  • Track expenses in QuickBooks and Excel for all Seniors Council programs
  • Monthly journal entries for personnel and administration for all programs
  • Quarterly Admin reconciliations
  • File quarterly and year-end payroll tax forms in QuickBooks
Annually or as needed
  • Service Provider Budget forms and Closeout forms creation and maintenance
  • Service Provider Fiscal Monitoring and Contract Compliance
  • State Budgets, Amendments and Closeouts for CA Department of Aging
  • Area Plan Budget allocations worksheets for providers and directs
  • Internal program budgets for Seniors Council on spreadsheet and in QuickBooks
  • Provide requested information for audits and monitoring
  • Generate employee annual W-2’s
  • Generate and send annual 1099’s to vendors
  • Employee health benefits and Ease portal from CAN (if needed)
  • Employee Compensation Spreadsheet (updated at least once per year)
  • Renew domains with Cruzio
Knowledge:
  • GAAP (generally accepted accounting principles) and general office procedures;
  • FASB with specialized guidance for Non-Profits strongly preferred;
  • QuickBooks Desktop Accounting software;
  • Microsoft Office applications, intermediate MS Excel & MS Word;
  • fiscal record keeping procedures and reporting requirements;
  • computerized accounting systems;
  • human service agency operations.
Skills:
  • use of a personnel computer;
  • typing and use of 10 key adding machines;
  • use of office equipment such as a scanner, copier, multi-line phone system, etc.;
  • implementing and maintaining proper procedures;
  • compiling, analyzing, and evaluating information, and in drawing sound conclusions.
Training and Experience:
  • Two years increasingly responsible experience in a professional setting performing basic accounting duties, or;
  • A. or equivalent training program in accounting, or;
  • a combination of educational and professional experience equivalent to the above two criteria
Salary and Benefits:

Starting Salary: $27.88 per hour [step 4], depending on experience.

Salary Range: $24.08 - $37.36

Paid vacation, sick time, and 13-1/2 annual holidays.

Health, vision and dental insurance provided after introductory period.

Full-time permanent position; flexible 30-40 hours per week.Office open Monday through Friday and is located in Watsonville. Hybrid work option available after training is complete.

Due to the nature of our business, you will need a fingerprint background check.

Physical Requirements:

Work is performed in an office environment and may require occasional travel to off-site facilities. Job duties involve sitting, standing, and walking for prolonged or intermittent periods of time, and reaching, bending, and twisting at the waist to perform desk work and operate general office equipment, including a personal computer and keyboard, for prolonged or intermittent periods of time. The operation of a personal computer also requires finger and wrist dexterity and the ability to withstand exposure to vibration, pitch and glare from the computer. Employee must be able to safely lift and carry books, files and reports weighing up to 25 pounds. Must be able to lift files and reports from counter tops or file drawers.
