Position Summary
We have an exciting opportunity to join our team as a Financial Project Analyst. The project financial analyst supports the day-to-day financial operations related to the divisions of the Real Estate Development and Facilities Department (RED+F), collaborating with the Project Management team and other RED+F areas to ensure sound financial management of the portfolio under purview. The successful candidate will provide overall financial support for RED+F, including budgeting, invoice processing, status updates of purchase orders, financial analysis, reporting and research. They must have a clear understanding of accounting and finance, procurement, and accounts payable. Knowledge of the construction financial process is critical; experience with private financing and/or state agencies is a plus. They must communicate with senior staff and project managers and be flexible enough to handle administrative tasks independently and as part of a team. They should be self-motivated and able to work both independently and collaboratively.
Job Responsibilities
- Financial tracking, monitoring and reporting of capital projects
- Budget monitoring and reporting for the project portfolio
- Review, analyze and process applications for payment
- Review all financial documents related to the project portfolio and ensure compliance with institutional and industry standards, guidelines, policies and procedures
- Perform accounting and accounts payable functions related to the project portfolio
- Liaison with internal Project Management staff, vendors and external organizations related to the project portfolio
- Day-to-day activities and functions while ensuring adherence to departmental policies and procedures, cost and accounting standards; review and process payment billings from contractors, subcontractors and consultants; perform account reconciliations; prepare and process journal entries
- Collaborate with PMs to ensure timely processing of contracts, purchase requisitions, invoice payments, IOIs and journal entries
- Ensure REDF Financial Systems are updated and reconciled against organizational financial systems; collaborate with REDF colleagues
- Maintain accurate, well-documented project records electronically and in hard copies; organize meetings, open items and decisions; issue memoranda of understanding
- Report on KPIs
- Understand components of development projects (construction costs and consultant costs)
- Prepare ad hoc reports as needed
- Assist in project close-out
- Prepare cash flows and forecasting; follow up monthly on audits and responses; prepare monthly or quarterly financial reports from systems
- Guide Project Managers on proper procedures for reviewing CM Requisitions and Vendor Invoices
- Manage calendar of due dates (Pencil Requisitions, Pencil Requisition reviews, final requisitions, cash flows, monthly reports, vendor invoice due dates)
- Review Vendor Accounts Receivable, reconcile; liaise with Accounts Payable; follow up on AP issues; manage contract administration; confirm Requisitions for Purchase Orders and ensure proper backup and coding
- Prepare allocation entries (e.g., insurance fees and project management fees) across projects; analyze and prepare journal entries
- Prepare budget modifications and understand Anticipated Cost Reports; work with Project Managers on final products including variances and required backup
- Ensure invoices are in compliance with contracts and NYU procedures; review CM Requisitions including base contract values, approved change orders, lien waivers, and general conditions
- Co-lead with Project Manager in Pencil Copy Requisition reviews with Construction
Minimum Qualifications
- Bachelor’s degree in Finance, Accounting or related field required
- 5+ years of experience in Construction, Real Estate, Architectural, Facilities or Health Services with strong construction accounting understanding
- Demonstrated customer service and communication skills
- Ability to develop positive, cooperative, team-oriented relationships with coworkers, supervisors, managers, clients and others
- Strong attention to detail and ability to work under pressure
- Demonstrated accounts payable and basic accounting skills (journal entries, working with general ledger, budgeting)
Preferred Qualifications
- Experience with Oracle Unifier preferred

Salary range: $66,299.99 - $93,492.00 annually. Actual salaries depend on experience, education, and hospital need. This range does not include bonuses or other compensation.
