  • Support reconciliations by comparing records and identifying missing entries.
  • Prepare routine summaries for the Finance Manager (open invoices, upcoming payments, outstanding documents).
  • Organise financial correspondence and maintain confidential records.

Good finance support is not just about entering numbers. It is about making sure the information behind those numbers is complete, accurate, and ready when the team needs it. As a Finance Assistant in Philadelphia, you will help keep invoices, expenses, records, and routine reporting organised while developing practical accounting experience in a professional office environment.

Build confidence with real financial work

You will report to a Finance Manager and support colleagues across finance, operations, and administration. The role is designed for someone at the beginning of their career who wants structured guidance, useful responsibility, and a clear understanding of how day-to-day finance supports wider business decisions.

Your regular work will include:
  • Process supplier invoices and check that names, dates, amounts, and approval details are complete.
  • Match invoices against purchase information and flag differences before payments are prepared.
  • Update expense records, digital files, and tracking spreadsheets with accurate information.
  • Support bank, card, and account reconciliations by comparing records and identifying missing entries.
  • Prepare routine summaries for the Finance Manager, including open invoices, upcoming payments, and outstanding documents.
  • Organise financial correspondence and maintain records in line with confidentiality and document-retention procedures.
  • Follow up with internal teams or suppliers when an invoice, receipt, or approval is missing.

You will not be expected to know every process on your first day. Training will cover the systems, approval routes, reporting templates, and checks used by the team. As your accuracy and confidence grow, you can take ownership of recurring tasks and support more detailed reporting, month-end preparation, and financial analysis.

What will help you succeed

You should be comfortable working with figures, email, and spreadsheets, and willing to check your work carefully. Previous office or finance experience can help, but it is not essential. Relevant experience may come from college coursework, an internship, retail cash handling, administration, bookkeeping support, or managing records for a student or community organisation.

The strongest candidates will be organised, discreet, and confident asking a clear question when information does not match. You should also be able to prioritise several small deadlines without losing attention to detail.
