JOB PURPOSE: Ensure the prompt and accurate payment of Veterans’ eligible program expenses to third-party providers. Document and maintain thorough records.
ESSENTIAL JOB RESPONSIBILITIES:
- Coordinate and process Temporary Financial Assistance payments to third-party providers for approved expenses, confirm receipt, and submit TFA to the Financial Assistance and Quality Assurance Coordinator weekly.
- Maintain ongoing communication with team members including Lead Case Manager, Lead Outreach and Intake Specialist, Financial Assistance Associate, and Program Manager.
- Conduct periodic peer-to-peer Quality Assurance audits of TFA, check registers, logs, client files, HMIS, and ensure compliance with grant guidelines. Identify and flag unallowable expenses.
- Maintain accurate checkbook balance, track receipts, organize them by department, and forward credit card receipts promptly. Keep detailed records and update client files and HMIS.
- Stay informed of current and new grant requirements through meetings and webinars to ensure compliance.
- Understand various grants and their regulations, and seek answers to complex questions resourcefully.
- Review and adhere to grant compliance guides, assess eligibility, and ensure proper documentation is collected and filed.
- Use software tools to generate monthly reports, verify data accuracy, and address discrepancies.
- Manage multiple tasks efficiently in a fast-paced environment, with attention to detail.
- Use various software to track data, generate reports, and ensure data standards compliance. Perform other duties as assigned.
- Provide exceptional customer service, prioritizing the needs of children, families, Veterans, and clients to support our mission to empower individuals and communities.
Qualifications:
- High School diploma or equivalent; an Associate’s degree in accounting is preferred.
- At least 6 months experience in accounting, bookkeeping, or auditing; 1 year preferred.
- Experience in a customer service environment; 1 year preferred.
- Experience with HMIS and VA Repository is a plus.
- Experience in social services is a plus.
Additional Requirements:
- Regular and acceptable attendance.
- Valid driver’s license with a clear record.
- Daily use of a vehicle without prior notice.
- Willingness to travel as needed.
