Swiftly is seeking a Finance Business Partner to own budget-to-actual reconciliation and expense forecasting across the company — and to build and manage the AI-driven reporting engine Swiftly's executives rely on.
This high-visibility role partners with department leaders and reports to the Sr. Director of Business Operations, shaping forecasting, commissions, and board-ready packets with a focus on accuracy and speed.
Swiftly is on a mission to help cities move more efficiently. We are the leading transit data platform for agencies to share real-time passenger information, manage day-to-day operations, and improve service performance. Today, over 200 transit agencies in 12 countries – including LA Metro, MARTA, SEPTA, and MBTA – rely on Swiftly to improve on-time performance by up to 40% and increase passenger information accuracy by up to 50%. The result is better service reliability, increased ridership, and more efficient transit operations.
Even though Swiftly's HQ office is located in San Francisco, CA, we are open to candidates in most locations across the U.S. as well as Ontario and British Columbia, Canada. At this time we are unable to provide Visa sponsorship.
Our Business Operations team improves efficiency, predictability, and visibility across the organization by leveraging data, automating processes, and fostering cross-functional collaboration. We sit at the center of Swiftly's commercial engine, owning go-to-market planning, revenue operations, quote-to-cash, proposals, and the reporting leadership uses to steer the business. Business Operations reports to the CFO and partners closely with Accounting.
Swiftly is looking for a Finance Business Partner to own budget-to-actual reporting and expense forecasting across the company — and to build and manage the AI-driven reporting engine that Swiftly's executives and board run on.
This is a high-visibility role for someone who wants to own an entire finance cycle rather than a slice of one. You'll be the single person who can see across every department's budget — the person any executive can come to with a question about their spend and get a clear answer. And you won't just produce the weekly Executive Leadership Team dashboard, the monthly business review, and the quarterly board packet — you'll design and own the AI-powered processes that generate them, turning work that stays stubbornly manual at most companies into something faster, more accurate, and repeatable.
As Finance Business Partner, you will own budget-to-actual reconciliation and expense forecasting for every department at Swiftly, and you'll be the finance partner each department leader works with month over month. Swiftly is shifting budget ownership to the executives and department heads who spend the money, and this role is the liaison who makes that shift work — giving leaders the numbers, the context, and the confidence to manage their own budgets.
You'll also own Swiftly's reporting engine end to end. Swiftly is investing company-wide in AI-assisted workflows — we build on Claude — and this role carries that mandate for financial and business reporting. You'll build, own, and continuously improve the AI processes behind our recurring packets, and share what you learn with the teams looking to do the same.
Rounding out the role, you'll own the commissions calculation and payout cycle.
You’ll report to the Sr. Director of Business Operations, partner daily with the Financial Controller and the Revenue Operations team, and work directly with every member of Swiftly's executive team.
This is an individual contributor role with company-wide scope. If you've owned a piece of this work at a larger company and want the whole cycle — plus a direct line to the executives who act on it and a real mandate to rebuild how it runs — this is that step up.
Budget Partnering
Own budget-to-actual reconciliation across every department, and be the person any executive or department head can come to with a budget question and get a clear, timely answer
Meet monthly with each department leader to review spend against budget, explain variances, and flag risks before they become surprises
Support the company's shift to department-owned budgets by building the cadence, tooling, and shared financial literacy that make self-service real
Partner with the Financial Controller and Sr. Director of Business Operations on the annual budget build and quarterly planning cycles
Translate financial results into plain language for leaders who don't work in finance, and help them make trade‑off decisions with confidence
AI‑Driven Reporting
Build and own the AI-powered processes behind Swiftly's recurring reporting — from data assembly and reconciliation through variance commentary and the finished packet
Treat the reporting engine as a product: version it, document it, improve it every cycle, and make it durable enough that it doesn't depend on any one person being online
Establish the standards, guardrails, and review steps that make AI-generated financial reporting trustworthy, with every number traceable to its source
Decide deliberately which parts of the reporting cycle should be automated and which require human judgment, rather than letting that line be set by default
Own the tooling that supports financial planning, consolidation, and reporting, and help shape that stack as it evolves
Serve as Swiftly's internal proof point for AI‑assisted finance work — sharing what you build with Accounting, Revenue Operations, and other teams looking to do the same
Reporting Packets
Own the production of Swiftly's recurring reporting packets end to end: the weekly Executive Leadership Team dashboard, the monthly business review, and the quarterly board packet
Be accountable for the deliverable itself — accuracy, narrative, and on‑time delivery — not just the inputs
Source go‑to‑market data from Revenue Operations and close data from Accounting, and reconcile the two so the company works from one set of numbers
Support investor reporting cycles alongside the board packet
Forecasting
Own the departmental expense and operating forecast, including headcount‑driven costs, vendor commitments, and the timing of planned spend
Maintain a rolling view of company operating expense, reconciled to the general ledger
Model scenarios for executive decisions — hiring trade‑offs, vendor commitments, program investment — and bring a recommendation, not just the numbers
Improve forecast accuracy over time by tracking where estimates diverged from actuals, and why
Commissions
Own the commissions calculation and payout cycle, ensuring accurate and on‑time processing in partnership with Accounting and Payroll
Serve as the first point of contact for commission questions and disputes, resolving them quickly and transparently
Partner with Business Operations on plan mechanics, and flag where plan design creates calculation ambiguity
4-6 years of experience in FP&A, strategic finance, or finance business partnering — ideally in B2B SaaS
Experience owning a budget-to-actual cycle across multiple departments or business units, from close through variance explanation
Hands‑on experience using AI tools in your own work, and a real appetite for rebuilding a manual process rather than living with it
Proven ability to partner directly with senior, non‑finance stakeholders — you can walk a VP through their numbers and leave them clearer than when you started
Strong expense and headcount forecasting skills, and comfort building models that hold up under executive scrutiny
Experience producing board‑oriented reporting packets where you owned the final deliverable
Excellent financial modeling skills in Excel or Google Sheets, plus fluency in an ERP (QuickBooks, NetSuite, Sage, or similar) and a financial planning or consolidation tool
Exceptional attention to detail, paired with the judgment to know which details matter to which audience
Ability to take an ambiguous request and turn it into a clear answer with minimal direction
Experience building and owning a production AI‑assisted reporting process — something colleagues actually depended on — is a strong plus
Commissions or sales compensation administration experience is a plus
