Descrição da oferta de emprego

Company Description

Swiftly is on a mission to help cities move more efficiently. We are the leading transit data platform for agencies to share real-time passenger information, manage day-to-day operations, and improve service performance. Today, over 200 transit agencies in 12 countries – including LA Metro, MARTA, SEPTA, and MBTA – rely on Swiftly to improve on-time performance by up to 40% and increase passenger information accuracy by up to 50%. The result is better service reliability, increased ridership, and more efficient transit operations.

Even though Swiftly's HQ office is located in San Francisco, CA, we are open to candidates in most locations across the U.S. as well as Ontario and British Columbia, Canada. At this time we are unable to provide Visa sponsorship.

About the Finance & Accounting Team

The Finance & Accounting team keeps Swiftly's financial engine running — from month-end close and revenue recognition to compliance, payroll, and vendor operations. We're a small, high-ownership team that operates at the intersection of rigorous process and practical problem-solving. You'll work closely with the Controller and Staff Accountant in a role that has real visibility and real impact across the business.

About the Role

Reporting to the CFO, the Accounting Associate — Accounts Payable will own the day-to-day payables and vendor operations function at Swiftly. This is a high-impact, high-ownership role that sits at the intersection of core accounting and operational finance. In addition to running a tight AP function, you'll support our growing hardware delivery business — managing purchase orders and partner transactions.

This is an ideal role for someone who thrives in a fast-moving environment, takes pride in clean books and organized vendor relationships, and wants to grow with a company that's changing how transit agencies serve riders.

What you'll do
Payables & Expense Management
  • Enter, code, and route vendor invoices for approval through Ramp

  • Manage employee expense reimbursements and enforce Swiftly's expense policy

  • Review and sync credit card expense categorizations to QBO

Vendor Management
  • Own new vendor onboarding — collect W-9s, set up vendor records, and maintain vendor database

  • Collect and maintain certificates of insurance (COIs) from vendors and subcontractors

  • Prepare 1099s annually

Month-End Close
  • Prepare accounts payable reconciliation

  • Prepare and post payroll journal entries and reconciliations

  • Prepare monthly accruals for legal, benefits, and other recurring vendors

Partner Ops & Hardware
  • Issue and manage purchase orders for hardware delivery projects

  • Track PO status, provide regular visibility to project managers

  • Process vendor invoices and track burn rate against project budgets

Payroll
  • Process semi-monthly payroll for all employees, including salaries, hourly wages, commissions, and bonuses

  • Ensure compliance with federal, state, and local payroll tax requirements, including multi-state withholding and registrations

  • Reconcile payroll to the general ledger and prepare related journal entries

  • Support quarterly and annual filings (941s, W-2s) and year-end audit requests

What will set you up for success
  • 1–3 years of experience in accounts payable, accounting operations, or a similar role

  • Comfortable in a fast-moving, high-accountability environment where you own your work end to end

  • Detail-oriented and organized — you catch errors before they become problems

  • Experience with or willingness to quickly learn Ramp, Bill.com, and QBO (QuickBooks Online)

  • Comfortable working across teams — you'll interface with Finance, HR, and the hardware delivery org regularly

  • Experience supporting or managing purchase order workflows is a plus

  • Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred
