About the Role: The Finance and Operations Coordinator supports Accounting in executing core accounting functions, including accounts payable, expense reporting, reconciliations, and financial close activities, ensuring accuracy and compliance with internal controls. This role also provides general office and administrative support, including organizational meeting and calendar coordination, document preparation, and tracking key deliverables across departments. The position plays a critical role in maintaining efficient financial operations while supporting broader departmental and organizational needs.
Responsibilities:
- Support core accounting operations, including accounts payable, expense reporting, and maintenance of vendor, contractor, and tax documentation (e.g., W-9s and 1099s), ensuring accuracy, proper authorization, and compliance with internal controls.
- Process invoices and employee expense reports, resolve discrepancies with vendors and internal stakeholders, and ensure timely and accurate payments.
- Support banking reconciliation to ensure accuracy and integrity of financial data.
- Assist with financial compliance and reporting requirements by gathering, organizing, and maintaining financial records, ensuring information is accurate, complete, and readily accessible as needed.
- Provide operational administrative support, including coordinating meetings, preparing supporting materials, tracking action items and deadlines, and monitoring attendance for required meetings as well as completion of annual compliance trainings and policy acknowledgements.
- Prepare and manage documents for review and signature (e.g., Adobe/PDF workflows), and maintain organized records of contracts, agreements, state registrations, and renewal timelines; follow up as needed to ensure timely completion.
- Perform other administrative and operational support tasks assigned to support the Finance team and organizational goals.
Qualifications:
- Requires bachelor’s degree or equivalent combination of training and experience.
- At least 2 years of accounts payable and general accounting experience.
- Experience with accounting software and expense management systems (e.g., Bill.Com, Concur, Sage Intact).
- Experience providing administrative and operational support in a professional office environment, including calendar coordination, meeting logistics, document preparation, and tracking deadlines or deliverables.
Required Skills:
- Solid understanding of basic accounting principles and financial operations, including accounts payable, reconciliations, and expense reporting.
- Strong attention to detail and accuracy, with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Highly organized, with the ability to prioritize work, track deliverables, and maintain well-structured records and documentation.
- Effective interpersonal and communication skills, with the ability to collaborate across teams and interact professionally with internal and external stakeholders.
- Demonstrated ability to handle sensitive and confidential information with discretion and sound judgment.
- Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
- Ability to problem-solve, identify discrepancies, and follow through to resolution.Strong administrative and coordination skills, including managing calendars, preparing materials, and tracking action items.
- Self-motivated and adaptable, with the ability to take initiative and support evolving team and organizational needs.
Total Rewards: $50,000 - $62,500 plus Medical, Dental, Vision, Life/AD&D, Disability, Employee Assistance Program, 401(k)
