Job description

TrimRx is redefining what responsible healthcare looks like in the GLP-1 space. While much of the market optimizes for speed and volume, we optimize for outcomes - owning the experience after the prescription and designing care that works in real life.

As we scale, building a thoughtful, disciplined, people-first organization is not optional, it is foundational to delivering safe, ethical, high-quality healthcare.

Role Overview

This role serves as the financial-operational liaison between the U.S. and Mexico teams, ensuring visibility, control, and traceability over budgets, expenses, invoices, vendors, contracts, and cash flow. The coordinator anticipates financial needs, identifies deviations, and evaluates the financial impact of business decisions — launches, new brands, hiring — before they are executed. This is a role of analysis, control, coordination, negotiation, and follow-up; it does not execute money movements or maintain the books.

Key Responsibilities
Budget and Spend Control
  • Track the overall and departmental budgets on an ongoing basis; compare budget vs. actual spend and flag deviations and unexpected expenses.
  • Question and validate spend requests, budgets, and purchase orders before escalation.
  • Validate invoices before payment (origin, authorization, supporting documentation), eliminating unidentified invoices.
  • Track future commitments, pending items, and due dates to anticipate cash flow.
  • Serve as the central filter for affiliate payments and credits — every related payment passes through this role before escalation.
  • Provide Business Intelligence with the operational data needed for forecasts, projections, and analysis.
  • Participate in business projection discussions, assessing the financial impact of initiatives in advance.
Vendors, Contract, and Payment Terms
  • Maintain ongoing communication with U.S. vendors on invoices, due dates, and payment terms.
  • Negotiate with vendors on dates, extensions, calendars, and payment terms.
  • Own the contract file, renewals, W-9s, and tax documentation for vendors and contractors.
  • Investigate unclear charges or amounts and coordinate resolution of discrepancies with vendors before payment.
  • Anticipate contract renewals and expirations, proposing renegotiation when it benefits the business's cash flow or profitability.
US-MX Liaison and Accounting Support
  • Serve as the direct liaison between U.S. operations, Business Intelligence, and Finance/Accounting in Mexico, providing timely context on expenses, vendors, contracts, and cash needs.
  • Translate accounting/tax rationale to the operational side, and operational reality back to the finance team.
  • Coordinate with the external accounting firm on documentation and information needed for closings, budgets, forecasts, and audits.
  • Maintain sufficient knowledge of U.S. financial and tax processes to review information, catch inconsistencies, and ask the right questions.
This Role Is Not
  • Does not execute payments or bank transactions, nor unilaterally approve payments.
  • Does not handle day-to-day bookkeeping or replace the external accounting firm.
  • Does not own the data or dashboards — that responsibility sits with Business Intelligence.
  • Does not make the underlying purchase or commercial pricing decision; manages terms and payment scheduling.
  • Does not handle treasury, investments, or investment advice, nor make final budget or capital decisions.
Qualifications
  • 100% bilingual English–Spanish, with professional‑level ability to negotiate and explain financial topics with U.S. and Mexico teams.
  • Availability to work on‑site in San Diego, CA.
  • Accounting or finance background with knowledge of U.S. tax and accounting frameworks.
  • Demonstrated experience in budget management, financial operations, accounts payable, or vendor management.
  • Experience negotiating payment terms and dates with vendors; ability to read financial statements, contracts, and cash flow.
  • Versatile profile (accounting‑financial‑operational hybrid), highly organized, follow‑through oriented, with attention to detail.
  • Ability to objectively question expenses and translate operational needs into clear financial information for decision‑making.
