We’re looking for a talented, detail-oriented Filing Services Team Lead (Remote) to join our team. Under the direction of the Surplus Lines Manager this role will be responsible for supervising a filing team in addition to project execution, state reporting, and client support. Must be vigilant, organized and not afraid to keep people accountable for their schedules, due dates and work performance. Success in this role will require a mixture of critical thinking, and deep customer focus. This role is not limited to the below description.
Key Responsibilities
- Demonstrate ability to manage multiple priorities in a high-volume position, deliver timely and accurate work products with customer service focus and respond with a sense of urgency as required
- Work independently, take initiative, and work with little supervision
- Maintain regular and timely attendance
- Train new Filing team members to file in appropriate states. Assist with the creation and maintenance of training and reference materials, including developing and refining SOP’s
- Assist in the research and maintenance of compliance requirements for each state and jurisdiction
- Provide excellent customer service by building and maintaining positive relationships with states and clients
- Handle escalations by de-escalating the interaction, resolving the issue at hand, and identifying feedback for the client, state or filing admin
- Manage inboxes daily and assign applicable tasks to employees, as needed
- Monitor the team’s filings, reports and transactions for accurate and timely completion; manage prioritization of projects and enforce best processes
- Complete reports, including reconciliation of filings in the InsCipher Connect portal, as needed
- Assist with details and documentation for state audits
- Lead team meetings and keep the team aligned on key priorities
- Maintains strong working knowledge of company products and services, and offers technical support and information to team members
- Support the Leadership team in fulfillment of ad hoc requests, as needed
- Assist with the coordination and execution of project plan activities, including setting up meetings, tasks, documents, organizing project information, following up on action items and assignments, and providing assistance to the project team(s) as needed
- Anticipate stakeholder needs, and develop and discuss potential solutions, even before the stakeholder realizes they are required
- Comply with all InsCipher company defined policies and procedures and develop strategies to promote team member adherence to company regulations and performance goals

Supervisory Responsibilities
- Organizes and oversees employee schedules, workload, flow and reports
- Conducts regular 1:1s & performance evaluations that are timely and constructive
- Handle discipline of employees as needed and in accordance with company policy
- Set standards of performance by creating levels of accountability
- Oversees work quality and verifies satisfactory meeting of company and regulation standards
- Keeping leadership informed and aware of issues or potential issues
- Coordinates with human resources to respond to employee concerns or complaints
- Monitor productivity while ensuring team is focused and on track
- Coach, praise and reinforce expectations
- Strong Management and leadership skills
Requirements And Qualifications
- Associate or bachelor’s Degree Preferred
- Insurance industry experience & certifications a plus
- Proven ability to lead others
- Intermediate Excel& technical competency
- Knowledge of Surplus Lines reporting & tax payments in multiple jurisdictions
- Requires excellent customer service skills

Compensation Range: $68k/yr - $80k/yr
