Job summary

World Wildlife Fund in Bozeman, MT seeks an Associate Specialist to support the administration of outgoing programmatic and operational agreements for the GP and Native Nations Conservation programs. You will assist Financial Leads and Program staff, helping ensure timely processing and accurate documentation across SmartSimple, Workday, SharePoint and AirTable.

The role emphasizes attention to detail, organized multi-tasking, and clear communication with partners and internal teams.

Qualifications

  • Bachelor’s degree and 2+ years of experience, or 4+ years of relevant experience.
  • Strong understanding of basic accounting principles (including FASB).
  • Experience with government-funded projects is highly desirable.
  • Experience working with Native Nations and/or rural communities is a plus.

Responsibilities

  • Supports financial leads with outgoing agreements, including grants, consultancies, MOUs, and related documents.
  • Assists program staff with pre-agreement preparation and records setup in SmartSimple; troubleshoots system issues.
  • Issues new agreements including Scope of Work and Budget development; uses the agreements management system.
  • Drafts all types of agreements ensuring Prime Donor provisions are included where applicable.
  • Prepares paperwork and routes agreements for internal review and signatures; distributes documents appropriately.
  • Processes and tracks outgoing payments in line with WWF policies, reconciling receipts as needed.
  • Monitors advances, records expenses for conditional grants; supports compliance with deliverable timing.
  • Produces weekly status updates to Operations team on in-progress agreements and deliverables.
  • Supports day-to-day administrative operations and special projects as directed.
  • Maintains cross-system files and ensures timely reporting and approvals.
