World Wildlife Fund, Inc. seeks an Associate Specialist to support the administration of outgoing programmatic and operational agreements for the Great Plains and Native Nations Conservation programs.

The role collaborates with Financial Leads and program staff to ensure timely processing and accurate record-keeping. The position requires strong organizational, accounting and analytical skills, with experience in government-funded projects and a collaborative, customer-focused approach.

Qualifications

• Bachelor’s degree and 2+ years of experience, or 4+ years of relevant experience.
• Working understanding of basic accounting principles (including FASB).
• Experience with government-funded projects is desirable.
• Experience with Native Nations or rural communities is a plus.
• Strong organization, quantitative, and analytical skills.
• Excellent communication and teamwork abilities.
• Proficient with Word, Excel, PowerPoint, AirTable, Workday, SmartSimple.

Responsibilities

• Supports financial leads with outgoing agreements, including grants; consultancies; MOUs; travel support, equipment loan, licensing, milestone infrastructure, and participation agreements; honoraria; and field office space related agreements.
• Assists program staff with pre-agreement preparation by collecting and reviewing documents, identifying issues, and updating partner records in SmartSimple.
• Assists with the issuance of new agreements, including scope of work and budget development and use of the agreements management system.
• Drafts all types of agreements, ensuring Prime Donor provisions are included as applicable.
• Prepares paperwork and routes agreements for internal review, secures signatures and distributes documents to parties.
• Processes and tracks outgoing agreement payments in a timely manner and reconciles receipts and expense reports.
• Monitors and clears advances, records expenses for conditional grants.
• Supports monitoring of deliverables and compliance with requirements; issues reminders to subgrantees.
