Job summary

Absolute Procurement, based in Portland, OR, seeks a full-time FF&E Project Manager to oversee multiple procurement projects nationwide, reporting to the Project Director. The role combines client-facing leadership with hands-on procurement, scheduling, and supplier coordination.

You will coordinate with designers, developers, operators, and other stakeholders, generate budgets, bids, and schedules, and manage purchases, logistics, and on-site installations.

Qualifications

  • 5+ years of hospitality, senior living, and/or multi-family FF&E procurement experience.
  • Bachelor’s degree in interior design, project management, business, supply chain, or related field; or equivalent work experience.
  • Extensive knowledge of hospitality FF&E commodities, suppliers, manufacturing standards, and logistics processes.
  • Deep understanding of the value engineering process with strong negotiation tactics.
  • Thorough and organized documentation with attention to detail for specs, budget, and schedule.
  • Ability to self-manage time while working remotely and multi-project prioritization.
  • Excellent verbal and written communication skills across platforms.
  • Proficiency in Excel and Google Workspace.
  • Ability to sit and work at a computer for long periods.

Responsibilities

  • Serve as the primary day-to-day client-facing point of contact throughout the project, leading communications and coordination.
  • Generate conceptual budgets, qualify suppliers, perform bid analyses, and present to project teams.
  • Develop procurement schedule and strategy ensuring timely milestones.
  • Collaborate with designers, developers, operators, and stakeholders to drive the procurement process.
  • Prepare and process purchase orders, change orders, and related contract documents.
  • Track submittals, approvals, prototypes, and delivery dates of procured items.
  • Plan transportation, warehousing, and installation of FF&E, managing third-party providers.
  • Compile punch lists and drive cost-effective solutions.
  • Manage project budget, forecasting, and reconciliation.
  • Coordinate daily with Project Coordinators for admin support.
  • Provide regular project status updates to the Project Director.
  • Occasional travel to job sites for installations and model room reviews.

Absolute Procurement is a leading FF&E procurement firm based in Portland, OR servicing new construction and renovation projects nationally. With Project Managers located across the US and a robust network of global manufacturing and logistics partners, AP provides turnkey FF&E purchasing project management services from initial budget development through final installation and punch.

We are looking to hire a full-time FF&E Project Manager who will execute several procurement projects simultaneously with minimal supervision and will report to the Project Director.

About You

You are a seasoned FF&E purchasing project manager with a proven track record of expertly managing the end-to-end procurement processes for hotels and other commercial projects. You have no problem jumping into an ongoing project to drive it to completion and you are able to simultaneously manage multiple projects of varying complexity each at different stages. Meticulous in your organization, you’re always prepared to confidently present project details to both internal and external project teams. You’re well-versed in procurement challenges and able to proactively anticipate issues and bring solutions to the table. You’re nimble in your approach and are able to manage competing priorities and frequent curveballs with flexibility and grace.

Key Responsibilities

  • Serve as the primary day-to-day client-facing point of contact throughout the project, leading project communications, meetings, and coordination to ensure clients remain informed, aligned, and confident in project progress.
  • Generate conceptual budgets, qualify suppliers, produce comparative bid analyses, and present to external project teams.
  • Develop the comprehensive procurement schedule and strategy and ensure timely completion of all critical milestones throughout the duration of the project.
  • Collaborate seamlessly with designers, developers, operators and other project stakeholders to drive the procurement schedule and all processes, with a focus on clarity and professionalism in all communications.
  • Prepare and process purchase orders, change orders and other project related contract documents.
  • Track and expedite submittals, approvals, prototypes, production schedules, in-production items, and arrival dates of all products purchased.
  • Develop the strategy and plan for the transportation, warehousing, and installation of all FF&E, and manage third-party service providers to ensure quality, cost, and appropriate risk management are prioritized throughout.
  • Compile punch lists and prioritize timely, cost-effective solutions.
  • Manage project budget, funds forecasting, basic accounting, and reconciliation.
  • Delegate to and coordinate daily with Project Coordinators for project administrative support.
  • Regularly report project status updates to the Project Director.
  • Occasional travel to job sites to oversee the installation or model room review processes, interfacing with clients, designers and other project stakeholders and trades onsite; job sites will include unfinished spaces and require physical movements including bending, kneeling, climbing, and lifting up to 25 pounds.

Qualifications

  • 5+ years of hospitality, senior living, and/or multi-family industry FF&E procurement experience.
  • Bachelor’s degree in interior design, project management, business, supply chain, or related field; or equivalent work experience.
  • Extensive knowledge of hospitality FF&E commodities, suppliers, manufacturing standards, and logistics processes.
  • A deep understanding of the value engineering process coupled with excellent negotiation tactics to ensure the best supplier pricing and terms are made available to our clients.
  • Thorough and organized in all aspects of project documentation with maximum attention to detail to ensure project specifications, budget, and schedule requirements are adhered to.
  • Demonstrated ability to self-manage your time while working remotely, always carefully managing deadlines and appropriate task prioritization across multiple projects.
  • Exceptional verbal and written communication skills whether in person, on the phone or across multiple digital platforms.
  • Experience and proficiency in Excel and Google Workspace applications.
  • Must be able to sit and work at a computer for long periods of time.
