Job summary

The Sundance Institute seeks a Festival Coordinator, Development to support the Development team in stewarding individual donors and supporters during the 2027 Sundance Film Festival. Based in Boulder, CO, this temporary, part-time role works onsite in a hybrid capacity.

The position runs 20 hours per week from October 5, 2026 to February 2, 2027, with occasional evenings, weekends and holidays to meet deadlines. Strong organization, communication and a love for film are essential.

Qualifications

  • Legal authorization to work in the United States.
  • 1–2 years experience in nonprofit fundraising or arts administration.
  • Outstanding communication skills for diverse stakeholders.
  • Excellent organizational skills with prioritization ability.
  • Ability to maintain confidentiality of information.
  • Ability to mitigate conflict and foster positive customer relations.
  • Working knowledge of databases and proficiency in Google Products.

Responsibilities

  • Maintain and update tracking documents for Membership, Donor Circles, and major donors attending Festival events.
  • Coordinate ticketing and pass benefits with internal departments.
  • Support ticketing and pass benefits deadlines for the Development team.
  • Prepare and distribute itineraries for Individual Giving donor accounts.
  • Coordinate lodging and transportation logistics for donor accounts.
  • Provide accurate record keeping for donor activity and benefit fulfillment.
  • Assist with receipts and donor communications during Festival.
  • Prepare outreach mailings and written wrap reports for supporters.
  • Provide onsite support during the Festival as needed.

POSITION OVERVIEW

The Festival Coordinator, Development is charged with administrative and logistical duties to support the Development team with the stewardship of individual donors and supporters of the Institute.

Working closely under the Manager, Individual Giving , the role of Festival Coordinator, Development supports Sundance Institutes commitment to providing the highest level of customer support to our dedicated community of individual donors, major donors, and f supporters in the lead up to and during the 2027 Sundance Film Festival.

This temporary position works Part Time (20 hrs per week) from Monday, October 5, 2026 to Tuesday, February 2, 2027 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Boulder, CO office in order to work onsite in a hybrid capacity throughout its employment.

Top priorities include but are not limited to
  • Maintaining and updating tracking documents for all Membership, Donor Circles, and major donors attending Festival screenings and events, including the credential workbook, ticketing, RSVPs, and other logistics as needed.
  • Coordinating ticketing and pass benefits for individual donors collaborating with internal departments (e.g. ticketing) to meet deadlines.
  • Coordinating and supporting the Development team with ticketing and pass benefits deadlines.
  • Preparing and distributing Festival itineraries for Individual Giving donor accounts.
  • Collaborating with Transportation and Accommodations departments, coordinating the lodging and transportation logistics for donor accounts, as directed.
  • Providing accurate and detailed record keeping in Individual donor files for all account activity including ticketing, benefit fulfillment, and recognition.
  • Assisting with providing receipts, acknowledgement of benefits received, and other Festival donor communications, as directed.
  • Preparing documents and conducting Festival outreach mailings and/or emails as requested.
  • Preparing a written wrap report detailing each supporters activities, with account outcomes and recommendations for future Festivals.
  • Supporting onsite with the Festival as needed
You have the following direct or transferable skill sets:
  • Legal authorization to work in the United States.
  • 1-2 years experience in nonprofit fundraising and/or arts administration or related areas.
  • Outstanding communication skills required to work effectively with a variety of people.
  • Excellent organizational skills including the ability to prioritize.
  • Ability to maintain confidential information.
  • Ability to mitigate conflict and facilitate positive customer relations.
  • Working knowledge of databases along with proficiency in Google Products.
  • Experience with proofreading corporate branding print and electronic signage preferred.
