The Family Office Manager is responsible for the efficient and discreet management of the family office and the coordination of the family’s personal, financial, administrative, and lifestyle requirements. The role acts as a central point of coordination between family members, professional advisers, investment managers, household staff, and external service providers.
The successful candidate will demonstrate exceptional organisational skills, sound judgement, discretion, attention to detail, and the ability to manage multiple priorities in a confidential and fast-paced environment.
Key Responsibilities
Family Office Operations
- Oversee the day-to-day operations and administration of the family office.
- Establish and maintain efficient systems, processes, records, and reporting procedures.
- Coordinate the activities of external advisers, including accountants, lawyers, tax advisers, investment managers, insurance brokers, and other professional service providers.
- Maintain accurate and confidential family office records and documentation.
- Monitor important deadlines, commitments, renewals, and compliance requirements.
- Coordinate household and family office budgets, cash flow, expenses, and payments.
- Review invoices, statements, expenses, and supporting documentation.
- Liaise with accountants and advisers regarding financial reporting, tax matters, and statutory requirements.
- Assist with the preparation of consolidated financial and management reports.
- Maintain oversight of banking relationships and administrative financial matters.
- Ensure appropriate authorisation and approval processes are followed.
Investment & Asset Administration
- Coordinate with investment advisers, asset managers, banks, and custodians.
- Maintain consolidated records of investments, property, trusts, companies, and other family assets.
- Assist with investment reporting and the preparation of portfolio summaries.
- Coordinate documentation and administration relating to acquisitions, disposals, valuations, and other transactions.
- Monitor key investment-related deadlines and reporting requirements.
Property & Lifestyle Management
- Oversee the administration of family residences and other properties.
- Coordinate property maintenance, contractors, insurance, utilities, and household services.
- Manage relationships with household staff and external service providers where required.
- Assist with travel arrangements, events, family occasions, and other lifestyle requirements.
- Coordinate logistics for family members while maintaining a high level of discretion and service.
- Coordinate insurance policies and risk-management matters.
- Maintain registers and documentation relating to family entities, assets, and important legal documents.
- Identify operational risks and recommend practical improvements.
Family & Stakeholder Management
- Develop trusted relationships with family members and their representatives.
- Act as a professional and discreet point of contact for internal and external stakeholders.
- Handle sensitive matters with maturity, diplomacy, and sound judgement.
- Anticipate family requirements and proactively resolve issues.
- Ensure that requests are managed efficiently from initial instruction through to completion.
The ideal candidate will have:
- Significant experience in family office management, private wealth management, professional services, executive support, finance, or a related environment.
- Strong understanding of financial administration and working with professional advisers.

- Experience working with high-net-worth or ultra-high-net-worth individuals and families.
- Knowledge of investment portfolios, trusts, foundations, family-owned businesses, and/or property portfolios.
- Experience coordinating legal, tax, accounting, and investment advisers.
- Experience managing household staff and luxury service providers.
- Relevant professional qualification in finance, accounting, business, wealth management, or a related discipline.
