Job summary

The Department of Healthcare and Family Services in Illinois is hiring a Fair Hearings Office Assistant to support the Office of the General Counsel and manage day-to-day hearing administration, correspondence, and records.

Position Overview

The Department of Healthcare and Family Services is seeking to hire a Fair Hearings Office Assistant to provide office support functions for the Fair Hearings section. This position serves a critical role within the Office of General Counsel by supporting hearing administration activities, coordinating communications, preparing reports and correspondence, maintaining confidential records, and assisting with the day-to-day operations of the Fair Hearing Administrative team.

The ideal candidate will possess strong organizational and communication skills, demonstrate attention to detail, have experience managing multiple priorities in a fast-paced environment, and be proficient in Microsoft Office applications. The preferred candidate will have the ability to work independently, maintain confidentiality, and effectively interact with staff, stakeholders, and the public while supporting grant-related administrative functions.

Essential Functions
  • Under general supervision, serves as an Office Assistant for the Office of the General Counsel (OGC) in theIllinois Department of Healthcare and Family Services
  • Produces all system generated correspondence, such as notices of hearings and dismissals, and all systemgenerated reports of section activities
  • Serves as a liaison between OGC’s Bureau of Administrative Hearings and the HFS Division of InformationSystems regarding equipment and programming problems, and arranges for receiving new equipment and forrepairing existing equipment
  • Updates logs of completed data entries
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above
Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year of relatedoffice experience
  • Requires ability to type accurately at 35 words per minute
Preferred Qualifications
  • Two (2) years of experience as a receptionist in a public administrative or government office
  • Two (2) years of experience with administrative hearings or appeal processes
  • Two (2) years of experience in data entry and case management systems
  • One (1) year of experience managing documents and records in an office setting
  • One (1) year of experience preparing and drafting reports for supervisors
