Job Description
The Facility Program Assistant is responsible for assisting with program registration by answering phone calls, processing registration fees, completing rental and program contracts for accuracy, and reviewing program proposals. Additionally, the incumbent will be responsible for assisting with budgets, collecting money, processing refunds, issuing receipts, and balancing monies received daily.
Essential Duties
- Setting up facilities and arranging rooms for classes, camps, or special events
- Coordinating with Support Services to maintain building and grounds with work orders
- Maintaining related facility equipment such as changing oil, stripping and waxing floors, changing light bulbs, and performing related maintenance
- Providing administrative support by coordinating meetings and schedules, editing and preparing newsletters, brochures, and basic reports
- Performing other basic duties such as copying, filing, faxing, typing documents, and sorting mail
- Assisting customers and citizens with general questions and concerns regarding event/rental information and location and/or facility maintenance and/or repair requests
- Overseeing work performed by inmates or volunteers
- Maintaining related inventory of janitorial and maintenance supplies and corresponding Safety Data Sheets
- Instructing clients on the fundamentals of the assigned community services program
- Performing other duties of a similar nature or level
Public Speaking
- Ongoing interaction with the public, user groups, and co-workers
Other Job Requirements/Information
- This job requires a 50-pound lift test.
- This job must be able to work a variety of hours, weekends, daytime, evenings, and/or holidays
Grade
- The grade for this position is B21(2). Salary will be dependent on education and experience.
Effective 4/11/2023, this position is eligible for the Employee Referral Program.
Minimum Qualifications
- High School Diploma or GED AND
- Two years of facility and grounds maintenance or related recreation support
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above, will also be considered.
- Driver's License
Preferred Qualifications in addition to the above minimum qualifications
- CPR certification (within 6 months of employment)
- First aid certification (within 6 months of employment)
