Job summary

HCA Florida Brandon Hospital is seeking a Facility Management Coordinator to oversee daily clerical operations of the Facility Management department across multiple facilities. Under the Market Director, you will handle payroll, accounts reconciliation, regulatory documents, and CMMS-based work order and maintenance scheduling.

You will greet visitors, type letters, manage mail, track PTO, and assist with supplies.

Qualifications

• Administrative experience in maintenance, engineering, or healthcare is preferred.
• Payroll and accounts reconciliation familiarity is aplus.
• Experience with CMMS and procurement processes is beneficial.

Responsibilities

• Greet department visitors, answer phones, relay messages, schedule appointments and forward calls.
• Type letters, memos, minutes, and publish department work schedules.
• Manage payroll and account reconciliations, including PTO tracking, ordering supplies, and invoice reviews.
• Process and distribute incoming mail and correspondence.
• Familiarize with HVAC, steam, and electrical systems typical of acute care facilities.
• Use CMMS for scheduling PMs, work orders, and vendor management.
• Manage staff workload, scheduling, and assignment of work orders using CMMS.
• Accept or reject service requests and assign to appropriate technicians with start dates.

Job Summary and Qualifications

The Facility Management Coordinator (Multiple Facility) is responsible for the daily clerical operations of Multiple Facility Management department. Under the supervision of the Market Director, the Facility Management Coordinator performs a variety of administrative duties, including payroll functions, accounting reconciliation, organization of regulatory documents, and maintenance of policies/procedures. The Facility Management Coordinator serves as the department subject matter expert for HCA Healthcare’s computerized maintenance management system (CMMS) and compliance program, which facilitates scheduling PMs, work order management, and vendor management. The Facility Management Coordinator shall also be responsible for supplies and parts management.

• Serves as receptionist for the department by greeting department visitors, answering phones, relaying messages, scheduling appointments, and forwarding calls.
• Types letters, memos, minutes, and other documents as required. Publishes department work schedules.
• Manages department payroll and account reconciliation, including tracking of PTO, ordering department supplies, and reviewing invoices.
• Processes and distributes incoming department mail and correspondence.
• Gains familiarity with the language of HVAC systems, steam systems, and normal and emergency electrical systems, emphasizing systems and components typically found in acute care facilities.
• Exhibits proficiency with computer systems, organizational and problem-solving skills, independent judgement, and attention to detail.
• Manages staff workload, scheduling, assignment and completion of work orders, and preventative maintenance tasks using HCA Healthcare’s CMMS.
• Accepts or rejects incoming service requests, and assigns to appropriate technician. Assigns start dates and technicians to preventive maintenance activities.

What qualifications you will need:

• High School Diploma, GED, or equivalent Required
• 1-year administrative experience in maintenance, engineering, or healthcare Preferred
