POSITION: Facility Coordinator

FULL-TIME/PART-TIME: Full Time

LOCATION: Dublin, OH

General Summary

We are seeking a proactive, detail-oriented, and organized Warehouse Facilities Coordinator to serve as the key administrative, operational, and facility support for our warehouse facility in Columbus, OH. This hybrid role combines warehouse office administration—such as inventory tracking, order processing, shipping/receiving documentation, and coordination between warehouse teams, office staff, vendors, carriers, and customers—with facility management responsibilities, ensuring a safe, efficient, compliant, and well‑maintained physical environment. The ideal candidate thrives in a fast‑paced warehouse/distribution setting, excels at multitasking, maintains high accuracy in data and records, responds effectively to both routine and urgent facility/operational needs, and contributes to smooth daily operations while promoting safety, efficiency, and regulatory compliance across the entire facility.

Qualifications
  • High school diploma or equivalent required.
  • 2–4+ years of combined experience in warehouse administration, inventory/operations support, facilities coordination, building maintenance, or a similar hybrid role in a warehouse, distribution, logistics, or manufacturing environment.
  • Strong proficiency in Microsoft Office Suite (especially Excel for tracking/reporting) and comfort learning WMS, ERP, CMMS, or inventory software (e.g., SAP, NetSuite, Fishbowl, ServiceNow).
  • Solid understanding of warehouse operations (receiving, shipping, inventory control) and basic building/facility systems (HVAC, electrical, plumbing, safety equipment).
  • Excellent organizational, prioritization, and multitasking skills in a fast-paced, dynamic environment.
  • High attention to detail and accuracy in data entry, documentation, and record‑keeping.
  • Strong verbal and written communication skills for interacting with diverse stakeholders (team members, vendors, drivers, customers, management).
  • Problem‑solving ability and comfort handling both routine tasks and urgent/emergency situations.
  • Ability to work independently while collaborating effectively with warehouse and office teams.
Preferred Education
  • Associate’s or Bachelor’s degree in business, logistics, or related field
Preferred Experience
  • Experience with inventory/shipping software or WMS.
  • Familiarity with logistics carriers and freight processes.
  • Forklift certification or prior experience in warehouse floor support (helpful but not required).
  • Knowledge of basic supply chain concepts or lean principles.
Physical Demands
  • Requires normal visual acuity and hearing.
  • Typically, employees sit comfortably to do their work, interspersed by brief periods of standing, walking, bending, carrying papers and books, and extensive periods requiring the use of computer terminals.
  • Required to sit and use their hands and fingers to handle or feel and manipulate keys on a keyboard.
  • Additional skills may be required to perform additional task(s) specific to work location, department or line of business.
  • Ability to lift up to 25‑50 pounds on a regular basis.
  • Comfortable in a warehouse setting with moderate noise, varying temperatures, and occasional outdoor exposure.
  • May require occasional after‑hours or on‑call response for emergencies (if applicable).

Duties and Essential Functions
  • Serve as the primary point of contact for warehouse operational requests and facility‑related issues from employees, drivers, vendors, carriers, customers, and management.
  • Perform data entry and maintain accurate records in Warehouse Management Systems, ERP software, or CMMS for inventory movements, stock adjustments, cycle counts, shipping/receiving, work orders, and maintenance logs.
  • Process and coordinate warehouse documentation including purchase orders, bills of lading, packing slips, invoices, returns, and schedule carriers (FedEx, LTL).
  • Help maintain standards of health and safety, hygiene, and security.
  • Manage relationships with external vendors and contractors (e.g., janitorial, landscaping, pest control, equipment repair, waste management, security); monitor performance, process invoices, and negotiate basic services.
  • Conduct regular facility and warehouse inspections (building, grounds, racking, equipment) to identify maintenance needs, safety hazards, or discrepancies, document findings and address issues promptly.
  • Oversee cleaning, housekeeping, and janitorial services to maintain high standards in warehouse areas, office spaces, restrooms, break rooms, and common areas.
  • Handle customer/vendor inquiries via phone, email, and in‑person; manage access (badging, keys, visitor logs), greet visitors/drivers, and promote a professional, safe environment.
  • Respond to urgent maintenance emergencies, operational disruptions, or repair requests; troubleshoot minor issues and elevate as needed.
  • Ensure compliance with health/safety regulations (OSHA, local codes, fire safety, hazmat if applicable), company policies, and warehouse standards; maintain records, conduct audits/drills, and support emergency preparedness.
  • Assist with space planning, minor office/warehouse moves, renovations, or reconfigurations to minimize disruptions.
  • Monitor energy usage, sustainability efforts, and basic facility/warehouse budgets; identify cost‑saving opportunities.
  • Identify and recommend process improvements for operational efficiency, error reduction, safety, and employee satisfaction.
  • Perform general administrative tasks (filing, phone coverage, meeting scheduling) and support special projects as assigned.
  • Attend and participate in departmental meetings.
  • Attend seminars and training sessions necessary to maintain the appropriate level of professional competence.
  • Ensure all department compliance guidelines are met.
  • Follow evidence‑based standards of medical care through adherence to existing policies and procedures.
  • Attend all meetings, in‑services training, or continuing education as delegated by the supervisor.
  • Provide customer‑focused interactions.
  • Perform all duties necessary for the department as per department policies and procedures.
  • Perform other duties and responsibilities as delegated by the supervisor within the scope of practice and the responsibilities in the department.
