Job Summary

The Facilities Manager is responsible for managing and coordinating the maintenance, operations, and services of the building(s) to ensure a safe, functional, and pleasant environment for staff, visitors, and tenants. This role includes overseeing the daily activities of building maintenance, repairs, space management, and coordination with vendors, ensuring compliance with health and safety regulations, and managing budgets for maintenance and operational needs.

Duties & Responsibilities
  • Facility Maintenance & Operations:
    • Ensure the efficient and cost‑effective operation of all building systems, including HVAC, lighting, plumbing, and electrical systems.
    • Oversee routine and preventive maintenance of equipment and facilities.
    • Conduct regular inspections of the facility to ensure safety and cleanliness.
    • Address any emergency or urgent maintenance needs promptly.
  • Vendor & Contractor Management:
    • Select and manage relationships with third‑party vendors and service providers (e.g., cleaning services, security companies, maintenance contractors).
    • Negotiate contracts and monitor service level agreements (SLAs) to ensure quality service delivery.
    • Manage service budgets and ensure compliance with contractual terms.
  • Space Planning & Management:
    • Plan and manage the use of space within the facility, ensuring efficient allocation and use of resources.
    • Oversee office layout, furniture, and relocation efforts.
    • Coordinate any renovations or improvements to the facility.
  • Health, Safety & Compliance:
    • Ensure compliance with local health, safety, and environmental regulations.
    • Conduct regular safety inspections and implement corrective actions as necessary.
    • Develop and enforce emergency response procedures, including fire and evacuation drills.
  • Budgeting & Financial Management:
    • Develop and manage the facilities budget, ensuring cost‑effective use of resources.
    • Track and report on expenses related to facilities maintenance, utilities, and repairs.
    • Identify cost‑saving opportunities without compromising quality or safety.
  • Sustainability & Energy Management:
    • Develop and implement sustainability initiatives, such as energy efficiency programs and waste reduction strategies.
    • Monitor utility consumption and propose measures to reduce energy costs.
  • Team Management:
    • Supervise, train, and develop a team of facilities staff and maintenance personnel.
    • Coordinate with other departments to ensure that the facility operates smoothly and that employee needs are met.
  • Other duties assigned: Assist with warehouse tasks and other duties as needed to ensure the smooth operation of the shipping department.
Required Skills & Abilities

Education & Experience
  • High school diploma or equivalent.
  • Prior experience in a warehouse.
  • Basic computer skills, including familiarity with Excel.
Physical Requirements
  • Ability to lift heavy items (up to 50 lbs.) and stand or move for long periods.
  • Typically works indoors in a warehouse setting.
  • Requires physical labor, including lifting, bending, and standing for extended periods.
  • Required to climb a ladder upwards 12 feet.
  • Long periods of standing.
  • Warehouse environment with exposure to varying temperatures and noise levels.
  • Full‑time, office‑based role with occasional travel to various sites or facilities.
  • Occasional evening and weekend work may be required, especially for emergencies or planned maintenance.
