Job summary

Jefferson Health is seeking a facilities coordinator to plan, coordinate, and execute transition, activation, and occupancy projects across new, renovated, or relocated facilities. You will manage on-site project activities and travel to sites, ensuring projects meet schedule and budget and are ready for end-user occupancy.

You will collaborate with cross-functional teams, maintain project documentation, develop reports for executives, and oversee vendor performance, logistics, and installation

  • Interacts with co-workers, visitors, and staff per Jefferson values.
  • Plans, designs, delivers, evaluates, and supports project management needs on enterprise capital projects.
  • Facilitates planning and execution onsite and remotely of activation, moves, and decommissioning projects.
  • Prepares status updates, reports, and meeting materials.
  • Maintains project documentation and trackers.
  • Develops and communicates reports to executive-level stakeholders and vendors.
  • Identifies barriers and risks; leads multiple senior-level projects.

Education

Bachelor's Degree in Business Administration, Healthcare Management, Project Management, Finance or related field

This role requires extensive on-site project management, collaboration with cross-functional stakeholders, and oversight of activation activities to ensure facilities are delivered on schedule, within budget, and ready for end-user occupancy. The Coordinator serves as the primary field representative during activation and move-related activities, managing project timelines, vendor performance, logistics, furniture and equipment installation, occupancy readiness, and issue resolution. The position requires frequent travel to project sites and the ability to work in dynamic construction and operational environments.

Job Duties
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Designs, plans, delivers, evaluates, and continually supports project management needs on enterprise capital projects to drive healthcare value and achieve enterprise goals.
  • Independently facilitates planning and execution onsite and remotely of activation, moves, and decommissioning projects.
  • Prepare status updates, reports, and meeting materials.
  • Maintains project documentation and trackers.
  • Develops and communicates reports to executive-level stakeholders and vendors.
  • Facilitate team meetings, identify key actions and follow-up items, liaison etc., ensuring accuracy and accessibility to all project-related documents.
  • Identify and elevate barriers and risks.
  • Leads and balances multiple senior-level projects.
  • Leads and facilitates project reviews and lessons learned.

Other responsibilities may be assigned when circumstances require.

Minimum Qualifications
  • Bachelor’s Degree In Business Administration, Healthcare Management, Project Management, Finance or related field
  • 2 years of experience handling projects or administrative work involving tight deadlines, multiple priorities, and teamwork.
Additional Qualifications

Physical Demands Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to performed activities specific to their role including kneeling, bending, squatting and performing CPR.
