Job summary

Glow Brands is seeking a Facilities Coordinator to support multiple locations, including Sun Tan City, Wellness City, Planet Fitness, Buff City Soap, and 7 Brew. You will manage service requests, preventive maintenance, and asset tracking, using hands-on mechanical expertise to troubleshoot issues.

You will coordinate with vendors, landlords, and internal teams to schedule work, maintain records in Woven, and assist with capital projects and inventory.

Qualifications

• 5+ years of administrative support experience with a solid mechanical/handyman background.
• Ability to read and interpret facility plans and blueprints.
• Hands-on mechanical troubleshooting for HVAC, plumbing, electrical, and handyman issues.
• Proficiency in Microsoft Office (Excel, Word, Outlook, Teams), facility software (Woven), document management and invoice systems (Docuware).
• Basic knowledge of facilities maintenance management and Glow Brands businesses preferred.

Responsibilities

• Receive and prioritize service requests; troubleshoot minor facility issues before vendor calls.
• Read and interpret facility plans to assist with layouts and capital projects.
• Communicate with vendors, property managers and internal teams to schedule service calls.
• Maintain asset and service databases across locations via Woven; track preventive maintenance.
• Coordinate, track and report on scheduled preventive maintenance programs.
• Update service ticket costs and vendor invoices in Docuware; oversee procurement and licenses.
• Assist Director of Facilities with capital projects, store sets, remodels, and warehouse inventory.
