Job summary

Smith+Nephew is seeking a proactive Facilities Support Administrator to manage day-to-day workplace operations, ensure a safe and compliant environment, and provide front-of-house support for employees, visitors and contractors. You will coordinate office services, maintain facility records, manage access and supplies, and assist with health, safety and environmental initiatives across the site.

A High School diploma and 4+ years in facilities or corporate support are required, with proficiency

Qualifications

  • High School Diploma or equivalent and 4+ years of experience in facilities administration, office administration, workplace services, or related corporate support environment.
  • Proficiency with Microsoft Office applications, including Excel, Word and PowerPoint.

Responsibilities

  • Manage front-of-house services, including visitor management and reception-related activities.
  • Coordinate meeting room bookings and room setup requirements.
  • Maintain site records, documentation, notices, certificates, and signage.
  • Support the Facilities Manager with day-to-day facilities operations and projects.
  • Assist with the management and supervision of facilities service contractors.
  • Support HSE programs and initiatives and report safety concerns.

We are seeking a proactive and customer-focused Facilities Support Administrator to support the day-to-day operations of our workplace and help maintain a safe, compliant, and efficient working environment. This role is responsible for a wide range of administrative and facilities-related activities, ensuring employees, visitors, and contractors experience a well-managed and professional workplace. The successful candidate will provide front-of-house support, assist with workplace services, maintain facility records, coordinate office resources, and support health, safety, and environmental (HSE) initiatives across the site.

What will you be doing?
Facilities Administration
  • Manage front-of-house services, including visitor management and reception-related activities.
  • Support housekeeping and security service coordination.
  • Conduct routine site inspections and report any issues requiring attention.
  • Manage office mail and courier services.
  • Coordinate employee and visitor access control arrangements.
  • Maintain site records, documentation, notices, certificates, and signage.
  • Support the Facilities Manager with day-to-day facilities operations and projects.
  • Assist with the management and supervision of facilities service contractors.
  • Maintain facility-related records and lists, including:
    • First Aid Responders and Emergency Wardens
    • Security card access information
    • Vehicle registrations
    • Locker assignments
Office & Workplace Support
  • Order and maintain office supplies and workplace consumables.
  • Coordinate meeting room bookings and room setup requirements.
  • Restock office and café consumables as needed.
  • Arrange the purchase of small-value materials required for facility maintenance and operational tasks.
  • Organize and coordinate meetings, events, and workplace activities.
  • Maintain facility-related records and lists, including:
    • First Aid Responders and Emergency Wardens
    • Security card access information
    • Vehicle registrations
    • Locker assignments
  • Help ensure facility assets meet business, operational, and legal requirements.
Health, Safety & Compliance Support
  • Support site health, safety, and environmental (HSE) programs and initiatives.
  • Report safety concerns and non-compliance issues.
  • Monitor and replenish first aid supplies.
  • Communicate HSE and emergency information to visitors attending the site for the first time.
  • Assist with emergency preparedness activities, including evacuation and shelter-in-place procedures.
What you need to be successful?
  • High School Diploma or equivalent and 4+ years of experience in facilities administration, office administration, workplace services, or a related corporate support environment.
  • Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint.
  • Experience with data entry, report preparation, and managing correspondence through various software applications.
  • Previous experience working in a corporate office environment.
Preferred
  • Additional education, certification, or training in Office Administration, Business Administration, or a related field (Certificate, Diploma, BBA, MBA, or equivalent).
  • Experience supporting workplace facilities, office management, or administrative operations.
