Job summary

Oakland Community Health Network (OCHN) seeks a Facilities Manager to respond to emergencies, supervise maintenance and contractors, ensure safety compliance, and support space planning across Pontiac, MI with occasional Troy travel.

The role requires a Bachelor’s degree or equivalent in safety/facilities management and 3+ years of related experience, strong knowledge of OSHA standards, budgeting, and procurement. Office environment with after-hours readiness.

Responsibilities

  • Respond quickly to emergency janitorial calls and complete incident reports.
  • Oversee safety, security, and compliance with laws and business practices.
  • Coordinate building maintenance and supervise contractors.
  • Manage office moves and space planning under supervision.
  • Coordinate accreditation efforts for health and safety sections and premises.
  • Respond to maintenance requests and provide coaching to staff.
  • Liaise with parking, police, and fire services.
  • Manage coffee supplies, first aid cabinet, and office supplies within budget.
  • Oversee HVAC monitoring via BMS and monitor special projects.
  • Work flexible hours, including after-hours emergencies as needed.
  • Maintain communications devices and conduct safety drills.

Job description

Essential Functions
  • Respond quickly to all emergency janitorial calls from the Lobby, OACIS, CRU, SSU and YFCC.
  • Complete an incident report (IR) after all emergency calls for janitorial services
  • Oversee and coordinate all safety and security issues relative to the physical plant and grounds and assure compliance with all applicable laws and acceptable business practice.
  • Manage building/office related objectives including building maintenance/repair. Monitor, manage, and oversee the work product of building/office related contractors.
  • Coordinate office space and employee moves – with lead from supervisor.
  • Works with Director of Facilities on OCHN accreditations for sections involving health, safety, and OCHN premises.
  • Respond, coordinate, and perform minor maintenance activities (repairs) and requests to move furniture, etc. (staff & tenants request)
  • Provide coaching and other technical assistance to other staff as assigned.
  • Serve as Liaison with parking, and with police and fire regarding local issues.
  • Manage coffee supplies, including paper goods. Work with coffee vending to place orders while remaining within budget.
  • Manage First Aid Cabinet, working with vendor to stay within budget.
  • Order and distribute office supplies.
  • Assist with tenant issue and oversight.
  • Work with Director of Facilities to monitor the HVAC equipment through the BMS system.
  • Monitor and manage other special projects as assigned.
  • Coordinate efforts with all other teams.
  • Managing the fire alarm panel including resetting alarms.
  • On-call availability will be required as needed to address urgent facility issues after hours.

Although the primary work location is in Pontiac, MI, occasional travel to the Troy, MI location may be required for Facilities support as needed.

Carry and maintain communication devices, including company phone and walkie-talkie, to ensure constant availability and coordination.

Conduct safety drills during shift and provide training.

Other general duties as assigned by Facilities Director or designee.

Job Requirements and Qualifications

Education:

  • Bachelor’s Degree in Business Administration or related field preferred .
  • Equivalent combination of education and experience in safety and facilities management may be considered.
Training Requirements (licenses, programs, or certificates):
Experience Requirements:
  • Minimum three years’ experience in safety and facilities management preferred.
  • Experience in purchasing, procurement, business administration, public administration, accounting, or related area which includes contact with the public.
Job Specific Competencies/Skills:
  • Knowledge of applicable safety practices and OSHA regulations .
  • Knowledge of standard methods, practices, tools, and equipment of building maintenance services.
  • Knowledge of budget preparation and analysis
  • Knowledge of contract processes and requirements preferred.
  • Knowledge of purchasing and procurement practices and policies including laws and regulations regarding public procurement preferred.
  • Understanding of facility and information technologies

Additional Information
Travel required, physical requirements, on-call schedules, etc.:
  • Must have available means of transportation to and from OCHN and for required offsite meetings or site visits.
  • Must be available for meetings and events which may occur outside of standard office hours.
  • Work performed primarily in an office environment.
  • The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation.
  • Must be available to r espond to onsite building emergencies which may occur outside of standard office hours.
  • A company cell ular device will be provided .
  • Must be able to transport supplies and tools between OCHN locations .
  • Ability to lift, carry, push, pull or otherwise move heavy objects weighing up to 50 pounds .
