University of Iowa is seeking a Facilities Services Coordinator to lead facilities operations and staff, ensuring a safe and efficient environment for the campus community.

The role involves coordinating cleaning, maintenance, vendor relations, budgeting input, and continuous improvement of service delivery within the Division of Student Life. A strong background in supervision and facilities management is required.

Qualifications

  • High school diploma or GED required.
  • Minimum 3 years supervisory and facilities management experience.
  • Valid driver's license and ability to meet UI Fleet Safety Standards.
  • ISSA Certified Trainer certification or ability to obtain within 12 months.

Responsibilities

  • Coordinate and oversee facilities functions including cleaning, maintenance, warehousing, and environmental quality inspections.
  • Direct workflow for facilities staff (5–15 people) and ensure productive service delivery.
  • Plan procedures to improve productivity and efficiency in facilities operations.
  • Monitor grounds, facilities condition and initiate corrective actions as needed.
  • Hire, train, and evaluate staff; coach and discipline as required.

Position Summary

Under general supervision, the Facilities Services Coordinator is responsible for facilities operations including coordination of services and activities that provide a physical environment that promotes institutional excellence and ensures the health and safety of occupants. This position provides leadership and supervision to staff, maximizing efficiencies and following directed policies, procedures and protocols.

Job Duties
  • Coordinates and/or oversees facilities functions and activities such as the following: cleaning, maintenance and repair; warehousing and storage of supplies and materials; environmental quality inspections; event set up and being a contact for vendors and event coordinators for early morning events in the IMU; snow removal; contracted and in-house services such as pest control, window washing, and specialized departmental services including installation of interior furnishings, etc.
  • Assigns and directs the workflow of a large number (5 to 15) IMU facilities services staff.
  • Plans procedures and work methods to improve productivity and service methods in order to meet customer needs. Revises or recommends revisions to improve efficiency of facilities operations and services.
  • Appraises condition and cleanliness of grounds and facilities and initiates requests for corrective action as needed.
  • Interviews, hires or recommends hiring, trains and orients staff. Evaluates employee performance, coaches, facilitates work unit or team activities, and conducts or recommends disciplinary actions, promotions, and terminations.
  • Responds to both internal customer complaints and requests from external departments related to the delivery and improvement of a broad scope of services.
  • Confers with staff and vendors to negotiate best possible product and service delivery methods and schedules for customer satisfaction.
  • Maintains inventories of products, equipment, linens, uniforms and other supplies as needed to meet operational and customer needs.
  • Coordinates repairs and maintenance of equipment utilized by facilities services staff. Evaluates, tests, and recommends purchase of new supplies and equipment as necessary.
  • Provides direct input to unit budget preparation, keeps and prepares reports, time and space studies, supply and equipment procurement and other reports and other reports or records as needed.

Minimum Eligibility Requirements
  • Graduation from high school or GED equivalent, and
  • Three years supervisory and facilities management experience, and
  • Valid driver’s license and ability to meet UI Fleet Safety Standards.
Desirable Qualifications
  • Commercial custodial experience
  • Ability to maintain a high level of confidentiality.
  • ISSA Certified Trainer Certification or ability to complete and pass the course within 12 months of employment (travel may be required)
