  • Strong organizational, communication, and problem-solving skills; ability to manage multiple priorities in a fast-paced setting.
  • Proficiency in Microsoft Office; Yardi experience preferred.

Facilities & Security Operations Coordinator

HANAC, Inc. – originally founded by George Douris as the Hellenic American Neighborhood Action Committee – is a New York City–based multi-faceted social services organization. Since 1972, HANAC has provided critical housing and social service programs to vulnerable populations throughout New York City.

HANAC is seeking a highly organized and operationally driven Facilities & Security Operations Coordinator to support building operations and oversee daily security functions across multiple properties. This position plays a critical role in maintaining safe, compliant, and well-managed facilities environments.

The successful candidate must be capable of managing security operations, coordinating staff coverage, and responding to operational needs outside of standard business hours. This role requires 24-hour operational availability for emergencies, scheduling issues, and security-related incidents.

Essential Functions and Responsibilities
Security Operations & Staff Management
  • Oversee and manage security guard scheduling to ensure continuous 24-hour coverage across assigned locations.
  • Maintain standby coverage lists and coordinate replacements for call-outs, absences, and emergencies.
  • Monitor attendance trends including excessive call-outs, lateness, and no-shows; provide weekly operational reports.
  • Maintain complete and organized personnel files for all security staff.
  • Coordinate onboarding requirements and maintain compliance documentation.
  • Conduct annual performance evaluations for security personnel.
  • Coordinate required fire safety and incident reporting training.
  • Maintain updated training certifications and compliance records.
  • Serve as the primary liaison between security staff and management.
  • Represent the security department in operational meetings.
Facilities & Compliance Operations
  • Update and maintain Fire Safety and Security policies and procedures.
  • Ensure required fire safety and security signage is properly posted and maintained.
  • Issue and track building signage including smoking prohibitions, lithium battery restrictions, e-bike policies, and emergency routes.
  • Conduct regular building inspections to ensure compliance with safety standards.
  • Strengthen and monitor key control and access security procedures.
  • Coordinate facilities activities and operational support systems.
Administrative & Operational Support
  • Manage Yardi work orders, tenant charges, and facilities records.
  • Compile weekly and monthly facilities and security operational reports.
  • Process payroll summaries for security and maintenance staff.
  • Maintain inventory of building and office supplies.
  • Assist with emergency response coordination, resident inquiries, and front desk operational support when required.
  • Collect and deposit rent payments as assigned.
  • Meet weekly with the Director to review priorities, assignments, and operational concerns.
Qualifications
  • Associate’s Degree with at least three (3) years of facilities, security coordination, or operations experience;
  • OR
  • High School Diploma/GED with a minimum of five (5) years of relevant operational, scheduling, or supervisory experience.
  • Experience managing staff schedules in a multi-site or 24-hour environment strongly preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced operational setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with Yardi preferred.
Work Schedule & Availability Requirements
  • Position requires availability during evenings, weekends, and holidays as operational needs dictate.
  • Employee must be reachable and responsive for after-hours emergencies and security-related matters.
  • This role supports a 24-hour operation and requires flexibility outside standard work hours.
