Job summary

Carle Health seeks a Facilities Project Coordinator to support small and mid-sized construction and renovation projects across Carle facilities in Illinois. The role involves design oversight, change management, schedule and budget tracking, and organizing project documentation.

You will assist Project Managers and the Executive Director of Facilities Planning with coordination, reporting, and drawing management using Procore, Strata Jazz, and Bluebeam.

Qualifications

• Manage relationships with internal and external parties to determine project specifications and support success.
• Update construction schedule based on team input and expeditious progress tracking.
• Assist in management of permit process and procurement activities.
• Track and process project invoices and costs for timely reporting.

Responsibilities

• Read drawings and specifications and communicate with contractors about schedules and conflicts.
• Diligently follow up to resolve problems and document meeting minutes.
• Participate in project meetings and review cost incurred and projections.
• Identify and resolve design-drawing conflicts with team and consultants.
• Prepare and submit new contracts, schedules and material requirements.
• Provide routine status reports, daily logs and dashboards for leadership.
• Develop and implement project safety and infection prevention plans (ILSM/ICRA).
• Oversee Procore usage, administer system setup for new projects, and maintain current projects.
• Coordinate with Procore, Strata Jazz, Bluebeam and other tools for documentation control.
