Overview
The Facilities Manager oversees the day-to-day operations and maintenance of the school facility, ensuring a safe, clean, and efficient environment for students, staff, and visitors. This role manages custodial services, coordinates preventative and routine maintenance for building systems, ensures compliance with safety and environmental standards, and supports events and facility projects. The Facilities Manager also supervises contractors and staff, implements operational improvements, and contributes to cost-effective, high-quality facility management.
Responsibilities
- Develop and maintain daily, weekly, and monthly cleaning schedules, including tasks such as dusting, vacuuming, mopping, restroom cleaning and stocking, sanitization, and trash disposal
- Supervise and provide guidance to the Custodian, ensuring cleaning tasks are completed efficiently and to standard
- Monitor and maintain adequate levels of janitorial supplies, coordinating procurement with the Operations Director as needed
- Organize and maintain maintenance rooms and equipment, ensuring supplies are readily accessible and well organized and equipment is serviced regularly
- Respond to daily facility maintenance requests in a timely and efficient manner, ensuring the facility remains in excellent condition
- Respond to urgent facility issues such as water leaks, power disruptions, or safety concerns to minimize disruption to school operations
- Inspect facility systems regularly to identify maintenance needs before they become operational issues
- Monitor the performance of HVAC, plumbing, electrical, and lighting systems and coordinate repairs or service when needed
- Adjust building systems such as lighting, thermostats, and ventilation to support efficient and comfortable facility operations
- Maintain and monitor the water treatment system, ensuring water quality remains within environmentally safe standards
- Work closely with the Operations Director to coordinate monthly and seasonal maintenance projects, facilitating effective facility management
- Coordinate with the Operations Director to maintain fire and health safety standards and equipment, including fire extinguishers, alarm panels, Ansul system, emergency lighting, bathrooms, and science labs, coordinating inspections and servicing as required
- Ensure the Safety Data Sheet (SDS) documentation is current and maintained and that the QR code is visibly displayed in applicable locations in compliance with safety regulations
- Conduct monthly inspections of the playground, identifying and addressing safety concerns promptly
- Coordinate seasonal grounds maintenance such as leaf removal, landscaping, and exterior cleaning
- Assist or oversee snow removal and deicing activities, including coordination with vendors when necessary, to maintain safe access to the facility during winter weather
- Assist with room setup and teardown for school events, meetings, and special programs as needed
- Support facility needs during major school events, ensuring spaces are prepared, safe, and restored afterward
- Prepare rental spaces for afternoon, evening, and weekend events, ensuring they are clean and properly equipped
- Communicate with the Principal’s Assistant to confirm the recess location and lower lunch tables when recess will take place outdoors
- Execute daily end of school day procedures, contributing to the orderly closure of the facility
- Meet with contractors, secure bids, and obtain quotes for facility needs, overseeing contractor relationships and projects as necessary
- Assist with classroom relocation efforts, including moving furniture, desks, mounting whiteboards, and performing related tasks
- Coordinate with the Operations Director to develop and execute a preventative maintenance schedule for building systems, equipment, and facility infrastructure
- Implement best practice processes to improve efficiency in janitorial and maintenance operations
- Develop and implement cost reduction initiatives in facility management while maintaining high standards of quality

Required Qualifications

- Able to pass a background check
- Ability to safely lift, move, or maneuver equipment or furniture weighing up to 50 pounds and perform physical tasks associated with facility maintenance, following proper safety procedures to prevent injury
- Minimum of 1–3 years of experience in facilities management, building maintenance, or a related field
- Knowledge of building systems, including HVAC, plumbing, electrical, lighting, and water treatment
- Familiarity with safety regulations, fire and health compliance, and environmental standards
- Ability to develop, implement, and monitor preventative maintenance schedules
- Strong organizational, communication, and problem-solving skills
- Ability to respond promptly to facility emergencies and coordinate necessary repairs or service
- Competence in managing budgets, cost reduction initiatives, and vendor relationships
- Proficiency with basic computer applications and facility management software
Preferred Qualifications
- Associates or Bachelors degree in Facilities Management, Business, or related field
- 3–5 years of experience in facilities management, building maintenance, or a related field
- Experience managing large-scale projects or coordinating multiple contractors simultaneously
- Knowledge of energy efficiency practices and sustainability initiatives in facility management
