Responsibilities

  • Collaborates with Director of Operations & HR and shelter leaders to manage Shelter Operations and organization effectively.
  • Leads and empowers direct reports to align with the mission.
  • Provide interculturally competent leadership and anti-racism in the workplace.
  • Plan and develop projects with the Director of Operations & HR.
  • Coach staff through core values and policies.
  • Oversee facilities staff and contractors, including scheduling and evaluation.
  • Assist with hiring/terminations recommendations.
  • Help develop and manage the annual operating budget for the facility.
  • Manage purchasing for facility operations and program needs.
  • Schedule inspections and participate in safety walkthroughs.
  • Maintain vendor files and facility/grounds records.

Description

The Facilities Manager collaborates with other members of the leadership to support our mission and strategic goals as they relate to shelter operations. The Facilities Manager works to develop an operations team that provides a safe, welcoming, and inclusive environment for staff and residents.

This position maintains a high level of accountability and decision-making in providing quality services and employee management. This manager is responsible for maintenance and upkeep of our Grand Ave & Cleveland Ave buildings and property, as well supervising the work of the facilities team.

This position is full-time, benefits eligible, and the pay is budgeted at $70,000 annually.

The main duties are:

  1. Collaborates closely with the Director of Operations & HR as well as shelter leaders to ensure the operation of the Shelter Operations team and the overall organization are managed in an effective, efficient, integrated, holistic, and participant-centered manner.
  2. Leads and empowers direct reports, ensuring their work aligns with and supports the organization's mission.
  3. Provides leadership that is interculturally competent and sensitive to issues of diversity, equity, and inclusion, both with respect to the people the organization serves and to its staff. Committed to doing the work of anti-racism.
  4. Plans and develops projects in collaboration with the Director of Operations & HR.
  5. Coaches direct staff in assessing experiences and provides support and encouragement to process through the lens of our Core Values and organizational policies.
  6. Identifies and capitalizes on strengths of the operations team, encouraging continuous growth and development of staff through regular one on one meetings and semi-annual coaching conversations.
  7. Is on call for facility emergencies.
  8. Facilities staff/contractors including the scheduling, reviewing and evaluation of personnel associated with the program.
  9. Makes recommendations to the Director of Operations & HR for employee hiring and terminations.
  10. Assists with developing and managing the annual operating budget for the facility and assists the Director of Operations & HR with managing capital improvement programs.
  11. Manages purchasing for facility operations and assists with purchasing for program needs.
  12. Identifies any capital improvements or replacements for the organization's capital improvement budget and/or for the purpose of building reserves for fixed assets.
  13. Maintains files necessary to support reports to funders and/or licensing/permitting agencies essential to tracking the value of and/or improvements for facility and grounds.
  14. Reports on the activity of the programs, as required, by grant agreements and contracts.
  15. Participates in the Safety Committee.
  16. Maintains current and historical files on the acquisition of/or improvement to the facility and grounds.
  17. Maintains accurate vendor files.
  18. Schedules and monitors facility inspections for licenses and permits.
  19. Participates in resident room inspections.
  20. Participates in monthly maintenance/safety walkthroughs of the facilities and grounds.
  21. Performs maintenance.
  22. Performs custodial duties.
  23. Manages facility staff and volunteers.
  24. Other duties as assigned by the Director of Operations & HR.

Requirements

  1. Five years of experience in facility management, including building safety, security and maintenance.
  2. Three years supervisory or managerial experience.
  3. Strong interpersonal and communication skills.
  4. Excellent time management and project management skills.
  5. Good computer skills with demonstrated ability in Microsoft Office products.
  6. Ability to prioritize, handle a variety of tasks and be self-directed.
  7. Must be able to safely navigate multiple stairways throughout the workday to access work areas and perform essential job duties.
  8. Ability to handle participant, administrative, and personnel information with complete confidentiality.
  9. Demonstrated experience with and/or commitment to intercultural development and anti-racism work in the workplace.
  10. Commitment to actively contributing to the organization being a safe space for members of the LGBTQ+ community.
  11. Valid driver’s license with current insurance and a reliable motor vehicle.
  12. Criminal background check is required for this position.
