Job summary

Synergy Search is seeking a Manager of Facilities to own the lease, maintenance, and vendor ecosystem across a growing multi-site footprint. You will partner with Operations, Finance, HR, IT, and Legal to drive cost-saving initiatives and risk management.

The role offers direct visibility to leadership and a chance to shape how the facilities function scales as the company expands its healthcare services footprint. Some travel is required as sites are added.

Qualifications

• 5+ years in facilities or property management across a multi-site portfolio.
• Ability to read and interpret commercial leases independently.
• Experience managing landlord relationships and renewal coordination.
• Strong financial acumen with budget ownership and cost tracking.

Responsibilities

• Serve as primary contact with landlords and property managers over a large lease portfolio.
• Own lease renewal coordination timelines and handoffs to real estate teams.
• Oversee maintenance programs, repairs, and capital projects.
• Manage vendors/contractors, including SOW negotiation and performance monitoring.
• Build and manage facilities budgets, track spend vs. budget.
• Ensure compliance with building codes, safety regulations, and policies.
• Coordinate site moves and onboarding for new locations.
• Maintain leases, maintenance history, warranties, and service contracts.
• Partner with Operations, Finance, HR, IT, and Legal.
• Prepare reporting on occupancy, maintenance SLAs, asset condition, and renewals.
• Some travel for site visits, installs, and inspections.

Key Responsibilities

• Serve as primary point of contact with landlords and property managers across a large, multi-site lease portfolio
• Own lease renewal coordination timelines, approvals, and handoffs to the real estate/lease-negotiating team
• Oversee building maintenance, preventive maintenance programs, repairs, and capital projects
• Manage and evaluate vendors/service contractors, including SOW negotiation and performance monitoring
• Build and manage facilities budgets; track spend vs. budget and identify cost-saving opportunities
• Ensure compliance with building codes, safety regulations, and company policy
• Coordinate site moves, new-location onboarding, and close-outs for vacated properties
• Maintain accurate records for leases, maintenance history, warranties, and service contracts
• Partner cross-functionally with Operations, Finance, HR, IT, and Legal
• Prepare regular reporting on occupancy, maintenance SLAs, asset condition, and renewal timelines
• Some travel required for site visits, installs, and inspections

Requirements

• 5+ years of facilities or property management experience, ideally across a multi-site portfolio (100+ leases strongly preferred)
• Four-year degree or equivalent experience in lease management, building maintenance, or construction
• Demonstrated ability to independently read, interpret, and act on commercial leases
• Proven track record managing landlord relationships and end-to-end renewal coordination
• Experience overseeing maintenance programs, vendor negotiation, and capital projects
• Strong financial acumen - budget ownership, cost tracking, invoicing oversight
• Comfortable directing vendors/contractors to resolve issues
• Healthcare and/or retail experience working alongside corporate real estate teams is a plus
