Job Summary (basic Description)
The Facilities manager is responsible for ensuring all Jackson Lewis offices are operating as expected on a daily basis. The Facilities Manager will act as the primary point of contact for escalations related to office space and will coordinate with landlords, property managers, general contractors, and firm leadership to quickly resolve any disruptions to office operations. The Facilities Manager may also be required to travel to office locations to assist the Senior Facilities Project Manager with moves, renovations, walkthroughs, etc.
Essential Functions
- Responsible for day-to-day oversight of select JL office sites
- Ensures physical office space is professionally maintained to provide a safe, clean, functional, and attractive environment for employees, clients, and visitors
- Ensure that offices are fully operational with all utilities functioning properly
- Schedule and supervise maintenance repair work (in conjunction with local Office Administrators) and ensure work is completed as described
- Help the firm ensure compliance with state and federal regulations pertaining to facilities
- Maintain ongoing communication with contractors, project managers, leadership team, etc.
- Act as primary escalation contact for all facilities related requests and engage with appropriate contacts as needed to problem solve
- Interact with landlords, property managers, brokers, and firm leadership to resolve issues related to office locations
- Act as a liaison to third party vendors that provide services to the firm (i.e.: print, shipping, office supplies, movers, etc.)
- Ensure that operating systems, equipment, and resources are in top working order and available for use
- In conjunction with local Office Administrators ensure floorplans are kept up to date and inventory of available space is current
- Assist Project Managers with construction related issues/escalations as needed
- Assist with management of vendor contracts, including negotiating on behalf of the firm
- Assume additional responsibilities as requested
Qualifications/Skills Required
- Minimum of 5 years’ experience within facilities management; experience in a law firm or professional services organization preferred
- Knowledge of general maintenance methods, operating requirements, and safety precautions
- Ability to negotiate and administer contracts, obtain and compare quotes for goods and services and recommend vendors and providers
- Strong leader with the ability to motivate and develop staff
- Exceptional attention to detail with the ability to multi-task and work independently
- Able to work on multiple ongoing initiatives simultaneously while meeting deadlines
- Strong oral and written communication skills with the ability to communicate and collaborate with all levels of the organization
- Ability to establish, develop, and maintain valuable internal and external working relationships
- Proven project management skills
- Have a high degree of integrity and the ability to work with sensitive or confidential information
- Proactively approach challenges with a problem-solving mentality
- Work both independently and collaboratively in a team environment
- Maintain a positive attitude and ability to be flexible with different projects/workload
- Strong Excel skills.
Educational Requirements
For Colorado, the expected salary range for this position is between
$85,000 and $105,000. This position is also eligible for annual bonuses. The actual compensation will be determined based on experience and other factors permitted by law.
