Job summary

Dart-Entities is seeking a skilled Facilities Manager to oversee maintenance, safety, and regulatory compliance across company facilities. You will lead preventive maintenance programs, manage capital projects, and coordinate with operations, safety, IT, and other teams to support ongoing operations.

The role requires strong leadership, project management, and vendor coordination capabilities, with experience in HVAC and building systems.

Qualifications

  • Five or more years of progressive experience in facilities management.
  • Experience supervising maintenance staff and coordinating contractors/service providers.
  • Knowledge of building systems including HVAC, electrical, plumbing, and fire/life safety.

Responsibilities

  • Plan, organize, and oversee preventive maintenance and general facility maintenance across assigned properties.
  • Supervise maintenance personnel, set priorities, assign work, and monitor quality.
  • Coordinate and manage outside contractors and vendors for maintenance, inspections, construction, and improvements.
  • Develop and manage facility maintenance and capital expenditure budgets, controlling costs while maintaining standards.
  • Ensure inspections, permits, licenses, certifications, and maintenance activities are properly documented.
  • Support compliance with applicable building, fire, environmental, and safety regulations.
  • Coordinate facility-related responses to emergencies and equipment failures.
  • Assist with property management duties, tenant requests, and vendor services.

Position SummaryThe Facilities Manager is responsible for overseeing the maintenance, repair, safety, and overall condition of company facilities, properties, grounds, equipment, and related infrastructure. This position ensures facilities are maintained in a safe, reliable, and cost-effective manner while supporting the operational needs of the business.The Facilities Manager leads preventive maintenance programs, coordinates repairs and capital improvement projects, manages contractors and service providers, and oversees maintenance personnel. This role also supports property management activities and works closely with Operations, Safety, IT, and other departments to ensure facilities meet company standards and applicable regulatory requirements.Essential Duties and ResponsibilitiesPlan, organize, and oversee preventive maintenance, repairs, and general facility maintenance activities across assigned company properties.Supervise, develop, and provide direction to maintenance personnel, including establishing priorities, assigning work, and monitoring completion and quality.Maintain facilities, building systems, grounds, fixtures, and equipment to company standards and address maintenance issues that could impact safety or operations.Develop and maintain preventive maintenance schedules for building systems and equipment, including HVAC, electrical, plumbing, fire/life safety systems, dock equipment, doors, lighting, and other facility infrastructure.Coordinate and manage outside contractors and vendors performing maintenance, repairs, inspections, construction, and facility improvement projects.Obtain and evaluate vendor proposals, monitor contractor performance, and help ensure services are completed within approved scope, schedule, and budget.Manage facility improvement and capital projects from planning through completion, including coordination with internal stakeholders, contractors, and vendors.Assist with the development and management of facility maintenance and capital expenditure budgets and identify opportunities to control costs while maintaining facility standards.Conduct routine facility inspections to identify maintenance needs, safety concerns, potential risks, and opportunities for improvement.Ensure required inspections, permits, licenses, certifications, and maintenance activities are completed and properly documented.Maintain organized records of warranties, inspections, service agreements, maintenance history, equipment information, contracts, and other facility documentation.Support compliance with applicable building, fire, environmental, safety, and other regulatory requirements.Coordinate facility-related response to emergencies, equipment failures, utility interruptions, and other issues that may impact business operations.Support company vehicle and fleet-related maintenance and facility needs, as applicable.Perform property management responsibilities for company-owned or managed properties, including coordinating tenant maintenance requests, repairs, vendor services, and other property-related matters.Partner with Operations and other departments to plan facility improvements and ensure buildings and infrastructure support current and future operational needs.Perform other duties and responsibilities as assigned.QualificationsPreferred associate degree in Facilities Management, Construction Management, Business, Engineering, or a related field. Equivalent combination of education and relevant experience will be considered.Five or more years of progressive experience in facilities management, building maintenance, property management, construction, or a related field preferred.Previous experience supervising maintenance employees and/or managing contractors and service providers.Experience supporting warehouse, distribution, industrial, or commercial facilities strongly preferred.Working knowledge of building systems, including HVAC, electrical, plumbing, fire/life safety systems, and general building maintenance.Experience managing preventive maintenance programs, facility projects, and vendor relationships.Understanding of workplace safety practices and applicable facility-related regulatory requirements.Strong organizational and project management skills with the ability to manage multiple priorities and respond effectively to changing operational needs.Strong problem-solving skills and the ability to identify issues, evaluate options, and coordinate appropriate solutions.Excellent interpersonal, verbal, and written communication skills with the ability to work effectively with employees, leadership, tenants, vendors, and contractors.Proficiency with Microsoft Office applications.
