We are looking for a hands-on Facilities Lead to oversee the daily maintenance and operations of our approximately 40,000-square-foot office campus, consisting of two separate buildings in Woodland Hills, CA.
This role is ideal for someone who enjoys working with their hands, takes pride in maintaining a well-functioning workplace, and can independently troubleshoot and resolve everyday facilities issues. The Facilities Lead will be responsible for performing routine maintenance and repairs, proactively identifying facility needs, managing outside vendors, and ensuring our offices remain safe, functional, organized, and well-maintained.
This is a hands-on position, not solely an administrative or coordination role. The ideal candidate has practical experience with basic plumbing, electrical troubleshooting, general repairs, and preventative maintenance, along with the organizational skills to manage vendors and daily office operations.
This position is fully on-site at our Woodland Hills office.
Key Responsibilities
Facilities Maintenance & Repairs
- Perform day-to-day maintenance, troubleshooting, and minor repairs throughout both office buildings.
- Handle basic plumbing repairs, including unclogging drains, repairing minor leaks, replacing fixtures, and troubleshooting common restroom and kitchen plumbing issues.
- Perform basic electrical maintenance within applicable safety and licensing requirements, including replacing light bulbs, troubleshooting lighting issues, and identifying electrical problems requiring a licensed electrician.
- Complete general handyman tasks such as patching and painting walls, repairing doors and hardware, assembling furniture, installing shelves, and addressing minor building repairs.
- Conduct regular walkthroughs of both buildings to proactively identify maintenance issues, safety concerns, and opportunities for improvement.
- Establish and maintain a preventative maintenance schedule for facilities, fixtures, equipment, and shared spaces.
- Troubleshoot issues and determine which repairs can be completed internally versus those requiring specialized vendors or property management.
- Serve as the primary point of contact for contractors, property management, maintenance technicians, deliveries, and outside service providers.
- Coordinate and oversee vendor services for HVAC, plumbing, electrical, janitorial, pest control, and other specialized building maintenance needs.
- Schedule service visits, communicate project requirements, monitor work quality, and follow up on outstanding requests.
- Ensure vendor work is completed efficiently, professionally, and within approved budgets.
Security Systems
- Monitor and coordinate support for surveillance cameras, badge access systems, security alarms, and other office security services.
- Troubleshoot basic physical security hardware issues and coordinate with IT, security providers, or outside vendors when specialized support is required.
- Assist with maintaining a secure and functional workplace across both buildings.
Office Equipment & Furniture
- Perform minor repairs and maintenance on office furniture, desks, chairs, doors, cabinets, and shared office fixtures.
- Assemble, move, install, and reconfigure furniture and office equipment as needed.
- Identify equipment or furniture requiring replacement and coordinate approved purchases or repairs.
Inventory & Supplies
- Monitor and order kitchen, breakroom, office, first-aid, meeting room, and vending machine supplies.
- Maintain appropriate stock levels, organize supply areas, and manage replenishment within budget.
Warehouse & Storage
- Maintain clean, organized, and functional warehouse and storage areas.
- Assist with shelving, equipment movement, storage organization, and general upkeep.
- Identify and address safety concerns and communicate space limitations to management.
Safety & Compliance
- Maintain safe and functional office environments by proactively addressing hazards and maintenance concerns.
- Coordinate with property management and vendors regarding fire inspections, fire extinguisher servicing, smoke detector checks, security alarm permits, and other required building services.
- Ensure maintenance activities follow applicable safety procedures, building requirements, and company policies.
Administrative & General Support
- Maintain basic maintenance logs, preventative maintenance schedules, vendor records, and service documentation.
- Track vendor invoices, monitor recurring tasks, and communicate outstanding facility needs to management.
- Make occasional deliveries and pickups for the office as needed.
- Support other day-to-day facilities and operational needs as they arise.
Qualifications
- 3+ years of hands-on experience in facilities maintenance, building maintenance, general handyman work, property maintenance, or a related field preferred.
- Practical working knowledge of basic plumbing, electrical troubleshooting, and general building repairs.
- Experience performing routine maintenance tasks independently, including minor plumbing repairs, painting, drywall patching, hardware repairs, and furniture assembly.
- Comfortable using common hand tools, power tools, ladders, and basic maintenance equipment safely.
- Ability to troubleshoot problems, identify practical solutions, and determine when specialized or licensed professionals are required.
- Experience managing outside vendors, contractors, and service providers.
- Strong organizational, communication, and time-management skills.
- Ability to work independently, take initiative, and prioritize maintenance needs across multiple buildings.
- Proactive, resourceful, and comfortable taking ownership of facilities issues from identification through resolution.
- Experience maintaining commercial office spaces or multi-building facilities preferred.
- Willingness and flexibility to work extended hours, including weekends, with short notice when necessary.
- Physical Requirements: Must be able to routinely lift, carry, push, and pull items weighing up to 50 pounds, and occasionally handle heavier items with assistance.
- Must have a valid California driver’s license and a clean driving record to perform occasional work-related errands using a personal vehicle or company van. Current auto insurance is required when using a personal vehicle. Mileage will be reimbursed for work-related use of a personal vehicle.
Role Requirements
The Facilities Lead is expected to take direct ownership of the day-to-day physical maintenance and upkeep of both office buildings. This includes proactively identifying issues, independently completing routine repairs and preventative maintenance, and ensuring maintenance requests are addressed promptly.
While the role includes managing outside vendors and coordinating specialized services, the expectation is that routine maintenance and minor repairs will be handled directly whenever practical, safe, and appropriate.
Major repairs, construction, specialized building-system services, and work requiring licensed professionals will be coordinated through approved vendors and/or property management, with management approval as needed.
The successful candidate will be equally comfortable rolling up their sleeves to fix a problem, managing a contractor, and maintaining an organized and professional office environment.
