Job summary

The University of Oklahoma's Gaylord College of Journalism and Mass Communication seeks an Administrative Supervisor of Facility and Equipment to oversee facility needs, maintain equipment, and support college pedagogy.

This role manages daily operations, coordinates with facilities management, trains students and staff, handles room reservations, budgeting, and safety compliance to ensure top-notch learning environments.

Qualifications

• Bachelor's degree or equivalent experience.
• 3 years of office management/administrative experience.
• Experience with facilities management preferred.

Responsibilities

• Manages daily administrative operations of facility and equipment management for the college, including scheduling, correspondence, and record-keeping.
• Serves as liaison between the college and other university offices, including facilities management and safety offices.
• Acts as main point-of-contact, managing communication for facility and equipment related inquiries.
• Represents the college in equipment-related discussions, coordinating with students, faculty and staff to provide gear matching needs.
• Coordinates facility needs with Facilities Management and vendors, including space renovations and building maintenance.
• Oversee room reservation scheduling system and space rentals, including communication and invoicing.
• Administrative management of the college equipment rental program, including hiring and training student staff.
• Develop and enforce procedures to optimize workflow and ensure compliance with goals.
• Supports budgeting as equipment manager and monitors equipment usage metrics.
• Maintains inventory of facilities, gear, and resources and prepares reports as required.
