LJA is a leading engineering and design firm with employee-owners across ~100 locations. The Facilities Coordinator role keeps offices running smoothly, manages vendor relations, and supports new hires and relocations to enhance employee experience and operational efficiency.

The position emphasizes hands-on work, safety compliance, and collaboration with HR, IT, and leadership to implement long-term improvements across LJA’s offices.

Qualifications

• 1+ years of facilities support experience.
• Strong customer service with excellent written and verbal communication.
• Ability to multitask, stay organized and meet deadlines.
• Proficiency with Microsoft Office.
• Travel up to 75% and lift up to 50 lbs as needed.
• Pass background checks, drug screenings, and maintain travel eligibility.

Responsibilities

• Provide regular updates to stakeholders on facility conditions and service requests.
• Review FreshService tickets and ensure accuracy and follow-through.
• Coordinate preventive and routine maintenance activities.
• Manage vendors: COIs/W‑9s, proposals, performance, invoices.
• Support HR, IT, and leaders with workspace setups for new hires.
• Coordinate office relocations, space assignments, and floor plans.
• Inspect renovations, build-outs, and office improvements.
• Oversee preventive maintenance of HVAC, equipment, and infrastructure.
• Conduct monthly and quarterly site safety inspections.
• Provide onsite support for special facility requests.
