Administrative Assistant/ Portfolio Coordinator

(Real Estate)

Hourly $22.00 to $26.00

Lewisville, TX

JOB SUMMARY:

This role is instrumental in supporting the daily administrative functions of our real estate professionals, ensuring smooth and efficient operations. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to thrive in a fast-paced real estate environment.

Essential Duties:

  • Transaction Coordination: Assist in the coordination of real estate transactions, including document preparation, review, and submission.
  • Database Management: Maintain and update real estate databases, ensuring accurate and organized records of properties, clients, and transactions.
  • Customer Communication: Respond to internal and external customer inquiries and communications, providing excellent customer service and ensuring a positive customer experience.
  • Administrative Assistance: Provide general administrative support, including managing schedules, coordinating appointments, and handling phone calls.
  • Document Preparation: Prepare, proofread, and organize real estate documents, contracts, and correspondence.
  • File Maintenance:Organize and maintain both physical and electronic files, ensuring accessibility and compliance with company procedures.
  • Research Assistance:Conduct research on real estate leases and owned assets.

QUALIFICATIONS: Education and experience

  • High school diploma or equivalent; additional education or training in real estate administration is a plus.
  • Proven experience in administrative support roles, preferably in the real estate industry.
  • Strong organizational skills with attention to detail.
  • Proficiency in MS Office Suite and real estate management software proffered.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Organizational skills to manage multiple leases, documents, and deadlines simultaneously.
